About The Position

This position is responsible for providing clerical support for the department's operations. The role involves a variety of administrative tasks to ensure the smooth functioning of the office.

Requirements

  • Ability to read, write and perform mathematical calculations at a level commonly associated with completing high school or equivalent.
  • Sufficient experience to understand the basic principles relevant to the position's primary duties, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
  • Knowledge of modern office practices and procedures.
  • Knowledge of city and departmental policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Knowledge of city records management principles.
  • Knowledge of customer service principles.
  • Skill in prioritizing and organizing work.
  • Skill in the provision of customer services.
  • Skill in the maintenance of files and records.
  • Skill in using such office equipment as a computer, scanner, fax machine, and copier.
  • Skill in oral and written communication.
  • Applicants must be currently authorized to work in the United States on a full-time basis.

Responsibilities

  • Answers telephone and greet visitors; provides information and assistance; refers to appropriate personnel; takes messages and makes appointments.
  • Maintains office supply inventory; reorders as needed.
  • Establishes and maintains a variety of files and records.
  • Processes open records requests.
  • Assists personnel in the use of office equipment.
  • Composes memoranda, letters, and other correspondence to support office staff.
  • Maintains department’s webpages and content on the City website.
  • Provides support with processing liquor, door-to-door, pawnbroker, gaming, and taxi license applications, renewals, and transfers.
  • Acts as a backup to the City Commission agenda, minutes, and related information.
  • Provides support in preparation of social media materials and content.
  • Scans and archives documents.
  • Processes incoming and outgoing mail.
  • Arranges and attends meetings; provides support and records notes/minutes.
  • Performs related duties as assigned.
