About The Position

This position is with the Department of Health and Human Services (DHHS) in Rockland. The Office Assistant II performs a variety of administrative support duties including typing, filing, making copies, answering telephones, and other general clerical duties. These duties may include processing mail, faxing, scanning, indexing documents, and assisting in a back-up capacity for Regional Operations staff by greeting and screening individuals, determining their needs, and referring them to the appropriate employee, unit, or office. The role also involves receiving, routing, and transferring incoming calls and documenting walk-in traffic. Other miscellaneous administrative duties may be assigned.

Requirements

  • Training, education, or experience in office and administrative support work that demonstrates competency in applying a general knowledge of modern office practices to perform routine, varied office support tasks often requiring the operation of technical office equipment
  • Ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures
  • All positions in this classification assume the qualifications of: Office Assistant I
  • Outlook or comparable email applications
  • Excel or comparable spreadsheet applications
  • MS Word or comparable word processing applications
  • Receptionist and customer assistance by phone
  • Data entry (entering data and narratives)
  • Keyboarding (words per minute)

Responsibilities

  • Answering incoming phone calls
  • Processing incoming and outgoing mail
  • Filing of paperwork and documents
  • Faxing, scanning and indexing documents
  • Assisting in a back-up capacity for Regional Operations staff, in greeting/screening individuals coming into the office and asking questions to determine needs and referring to appropriate employee, unit or office for services
  • Receiving, routing and transferring all incoming calls
  • Documenting all walk in traffic on the electronic walk-in log
  • Other miscellaneous administrative duties as assigned
