About The Position

Under the supervision of the provider and/or practice leader, the Office Assistant II provides direct administrative support for general department needs. This role is responsible for a variety of receptions and clerical functions. Responsibilities may include scheduling appointments, patient registration, insurance verification/authorization, and collecting co-payments. As well as general office operations support. The role requires excellent communication, organizational skills, and the ability to work independently while handling multiple tasks efficiently. Performs other duties as assigned.

Requirements

  • High School Diploma or equivalent required.
  • Minimum of 1 year of customer service and/or administrative support experience, preferably in a medical or insurance setting.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Excellent customer service and communication skills and possess a friendly demeanor and professional telephone etiquette and remain calm and reassuring when dealing with upset individuals.
  • Basic medical terminology and understanding of insurance (Medicare, Workers Compensation, private insurances).
  • Ability to follow directions, accept orders and perform repetitive tasks.
  • Ability to multitask, prioritize, and manage time effectively with strong organizational skills and attention to detail.
  • Competent in methods of filing and retrieval of information, both manual and electronic.
  • Ability to maintain confidentiality and comply with patient confidentiality laws and regulations (HIPAA).
  • Ability to work in a fast-paced environment, handle multiple tasks efficiently and adapt to change.

Nice To Haves

  • Associate’s degree preferred.
  • Experience working with medical terminology preferred.
  • Electronic Medical Records is an advantage, Epic is preferred
  • Insurance processing: verifications/authorizations preferred

Responsibilities

  • Greets patients and all who enter the practice in a courteous/friendly manner.
  • Observes HIPAA guidelines for all patients and family members.
  • Answers telephone, screens calls, arranges appointments and referrals.
  • Charts, records, files, and updates with correct demographics, codes, procedures and insurance information; prepares new records, organizes files and maintains records.
  • Answers patient billing questions, performs billing/bookkeeping functions (which may include collecting co-pays, old balances, posting and balancing daily transaction sheets, preparing bank deposits, data entry of charges and codes).
  • Processes mail and maintains, and tracks office inventories.
  • Completes administrative duties as needed.
  • May perform transcription, editing, and file management.
