About The Position

The Coral Springs-Parkland Fire Department is seeking an Office Assistant to provide routine administrative support to the Community Risk Reduction Department. This role involves a variety of administrative duties, requiring strong organizational and interpersonal skills. The position may be assigned to a large department performing generalized administrative support or a smaller specialized department with departmental-specific instructions. The department is dedicated to providing the highest level of professional service and is an ISO Class 1 rated fire department.

Requirements

  • High school diploma/GED required.
  • Two years of experience working in an administrative support position.
  • An equivalent combination of training and related experience will be considered in lieu of education requirement.

Responsibilities

  • Provide routine administrative support to the Community Risk Reduction Department.
  • Research, create reports, generate correspondence, and schedule appointments for the Division Chief/Fire Marshal.
  • Schedule and coordinate public education activities, including station tours, care seat installation appointments, safety talks, and in-person appearances.
  • Assist the Public Education Officer in delivering public education at events.
  • Support the Community Emergency Response Team (CERT) with personnel files and scheduling.
  • Ensure office coverage during normal business hours.
  • Coordinate office and business communications.
  • Assist with processing annual fire inspections and developing other reports.
  • Schedule and invoice Fire Watch details, overtime, fire-watches, and other reimbursable processes.
  • Invoice and process annual fire inspection and re-inspection fees, and liens.
  • Act as a liaison to the City Clerk's Office, IT Department, and other departments.
  • Perform other duties as assigned by the Division Chief/Fire Marshal.
