About The Position

This position is not for students and requires the ability to handle confidential work material. It is located within the Departments of Music Research and Performance at the Schulich School of Music. The role involves providing secretarial and clerical support, drafting and editing documents, acting as a first point of contact for the departments, processing data, and supporting classroom scheduling and grade management. The incumbent will work under the supervision of the Administrative Officer and may perform duties similar to Office Assistant levels A and B.

Requirements

  • High School Diploma
  • 2 Years Related Experience
  • Ability to work effectively as part of a team, with a cooperative approach to supporting colleagues and departments
  • Customer service orientation
  • Strong written and verbal communication abilities
  • Ability to assess situations and to prioritize tasks and ensure efficient workflow in a fast-paced office environment
  • Strong attention to detail and experience with data entry
  • Proficiency in Microsoft Office Suite with intermediate skills in MS Excel
  • Ability to adapt to new software tools and systems as required

Nice To Haves

  • Knowledge of Banner, Minerva, and MS Access is a plus
  • Experience in academic or administrative environments
  • Familiarity with the Schulich School of Music
  • Knowledge of musical genres, such as classical and jazz is an asset

Responsibilities

  • Provide secretarial and clerical support to the Departments of Music Research and Performance, and the Administrative Officer.
  • Initiates, writes and/or edits documents for the Departments of Music Research and Performance.
  • Acts as first contact to the departments, greets students, academic staff, and other parties. Receives and provides general and detailed information and explanations to students; refers when necessary.
  • Processes data, reports, timesheets, and registrations.
  • Providing support to classroom scheduling, examinations and grade management.
  • Performs other duties as required.
