About The Position

The Washington State Department of Corrections (DOC) is seeking to fill a full-time, non-permanent Office Assistant (OA3) position within the Community Corrections Division, specifically for the Spokane Special Assault Unit (SAU). This position is expected to last approximately six months. The SAU supervises individuals convicted of sex offenses. The role involves performing advanced clerical support tasks, file management, and reception duties under the general supervision of the Administrative Assistant 4. The ideal candidate will share the DOC's vision of public service and be committed to an equitable and inclusive culture.

Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical experience.
  • Basic knowledge of Microsoft Office programs (Word, Outlook, Excel).
  • Must possess and maintain an unrestricted driver's license valid in the state of Washington.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to file, use proper grammar, punctuation, and spelling.
  • Ability to effectively communicate verbally and in writing with coworkers, the public, and criminal justice agencies/stakeholders.

Nice To Haves

  • Two years of clerical experience.
  • Basic knowledge of Microsoft Office programs (Word, Outlook, Excel).
  • Customer service and front counter experience.
  • Experience with a multi-line phone system.

Responsibilities

  • Serve as the primary receptionist for the unit, greeting and directing clients, the public, and stakeholders.
  • Manage a multi-line phone system.
  • Ensure the main entry door is opened at 8:00 am and locked at 5:00 pm.
  • Provide general clerical support.
  • Manage electronic and physical files.
  • Enter and retrieve data from various systems, including Offender Management Network Information (OMNI) and OnBase.
  • Assist the Special Needs Unit (SNU) as needed.
  • Perform other duties as assigned.
