About The Position

The Community Corrections Division is seeking to fill a full-time, permanent Office Assistant (OA3) vacancy within the Spokane Interstate Unit. This position performs file management and routine, advanced clerical support tasks. The role involves working independently on complex clerical projects and assignments, as well as performing reception duties at the front desk. Requirements

  • High school diploma or GED equivalent.
  • Six months of clerical experience.
  • Basic knowledge of Microsoft Programs to include Word, Outlook, and Excel.
  • Must possess and maintain an unrestricted vehicle operator's license valid in the state of Washington.
  • Maintain regular and reliable attendance.
  • Must respect and maintain confidentiality.
  • Ability to assist individuals with various criminal backgrounds.
  • Ability to navigate internal databases and a variety of computer platforms/applications.
  • Ability to proofread written material, identify and correct errors, grammar, and punctuation.
  • Ability to communicate effectively and clearly to staff, supervised individuals, stakeholders, and public.

Nice To Haves

  • Customer service or front counter/reception experience.
  • Experience operating a multi-line phone system.

Responsibilities

  • Manage and maintain electronic and physical files.
  • Database entry and retrieval from various systems, such as OMNI (Offender Management Network Information) and OnBase.
  • Create, manage, and archive DOC field files.
  • Provide front desk reception on a rotational basis.
  • Ensure the public office doors are opened at 8:00 am and closed at 5:00 pm.
  • Greet and direct clients, general public, and/or stakeholders to the appropriate staff.
  • Manage a multi-line phone system.
  • Deliver mail to the Broadway Administration building.
  • Receive and distribute reports.
  • Order office supplies.
  • Other duties as assigned.
