About The Position

We are currently looking for an individual to take on our office administration and accounts receivables! The successful applicant will oversee accounts receivables, office management, and will champion our administration through LMN, our Landscape Management System, by thoroughly understanding the functions and uses for this technology and help bring it to the next level as our company grows! This is a part-time position, working 3-4 days per week during the regular season, with additional hours required during our peak seasons, typically at the start of spring and winter.

Requirements

  • High School Diploma
  • Post-Secondary education in Business Administration or Accounting
  • 3+ years’ experience in accounts receivable
  • 3+ years’ experience using QuickBooks Online in a similar role
  • Advanced Excel skills to develop and maintain spreadsheets
  • Excellent written and oral communication skills
  • Strong customer service skills and is comfortable with making phone calls
  • Good initiative
  • Exceptional organizational and attention to detail skills
  • Reliable and accountable
  • Skilled in multitasking and prioritizing tasks
  • Capable of working well under pressure and with minimal oversight

Nice To Haves

  • Experience in LMN or another business management system preferred

Responsibilities

  • Invoice clients as required, either on a monthly basis or by project
  • Process incoming payments from clients
  • Enter payments (cheques, credit cards, and EFTs) into QuickBooks Online and track on spreadsheet
  • Maintain accurate customer information in QuickBooks online
  • Do collections on overdue accounts
  • Answer general inquiries for customers via phone or email in a professional and courteous manner and escalate issues to the appropriate manager
  • Maintain spreadsheets and reports with information for lawn maintenance, lawn care, and snow clients
  • Review and send out seasonal renewal contracts as required
  • Create work orders and site maps as requested in LMN estimates
  • Activate and deactivate jobs and contracts (lawn maintenance, lawn care, snow) in LMN
  • Continuously develop knowledge in LMN and help the company use the technology more efficiently
