Requirements

  • Strong organizational and project-coordination skills; comfortable managing multiple jobs at once
  • Strong communication skills (especially over the phone)
  • Ability to multitask and prioritize in a fast-paced environment
  • Experience with QuickBooks Online required
  • Comfortable learning and using CRM systems (Salesforce experience is a plus)
  • Self-motivated, proactive, and solutions-oriented
  • Valid driver's license and reliable personal vehicle for occasional job site visits (mileage reimbursed)

Nice To Haves

  • Experience in flooring, construction, or home improvement is a plus (not required)

Responsibilities

  • Manage Office & Production Operations: Oversee day-to-day office operations, keeping the workspace organized, efficient, and welcoming. Coordinate production schedules, job timelines, and crew/installer assignments to keep projects on track. Track jobs from sale through completion, proactively flagging delays or issues before they impact the customer. Manage calendars, scheduling, and internal coordination across the team. Order and track materials as needed to keep projects moving on schedule.
  • Deliver an Exceptional Customer Experience: Serve as a primary point of contact for customers via phone, text, and email. Schedule appointments for Design Associates and manage follow-ups on open proposals. Ensure a smooth, professional, and positive experience for every customer throughout their project. Support and execute local marketing initiatives to drive brand awareness. Represent the business at home shows and community events (occasional evenings/weekends).
  • Support Business Growth: Update Salesforce daily with job progress and customer information (training provided). Partner with bookkeeping support and maintain accurate records in QuickBooks Online. Meet weekly with the Owner to review sales performance, production pipeline, and project status. Participate in weekly planning and strategy meetings. Help improve processes, identify efficiencies, and take ownership of key administrative and operational functions. Contribute ideas that shape the future of the business.
