About The Position

The Office Administrator is responsible for providing a positive first impression to visitors and serving as the voice of Seaway when answering phones. This role supports multiple departments with specific project work, ensuring timely and high-quality completion. The position involves managing the reception area, handling communications, performing clerical duties, coordinating meetings and suppliers, ordering office supplies, and assisting with company events and community involvement. Additionally, the Office Administrator provides administrative support to various departments using Microsoft Office Suite and manufacturing software, acting as a central point of contact for the front office.

Requirements

  • High School Diploma or higher
  • 3-5 years experience in office administration
  • Extensive software skills, Microsoft Excel, and internet research abilities
  • Highly adept at navigating a computer including creating and organizing electronic files, typing 40+ wpm, email, and drafting professional documents
  • Strong communication skills, both written and verbal
  • Ability to organize, multitask, and prioritize
  • Confident, upbeat, outgoing, and friendly
  • Ability to work independently and collaboratively
  • Self-starter; responsive team player with the interest to take initiative
  • Enjoys working on several things at once with the ability to adapt to changing assignments and priorities

Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Notifies company personnel of visitor arrival.
  • Maintains security by following procedures, monitoring logbook, issuing visitor badges.
  • Maintains a safe and clean reception area.
  • Answers, screens, and forwards incoming phone calls while providing basic information when needed; maintains internal phone extension directory.
  • Receives and sorts daily mail, deliveries, and couriers.
  • Performs clerical duties such as filing, photocopying, scanning, faxing, and mailing.
  • Schedules and maintains main conference room calendars, coordinates meeting details as needed, runs errands, orders food for business meetings and events.
  • Coordinates and manages administrative service suppliers such as food vendors, cleaning service, coffee and water service, phone system, etc.
  • Orders office supplies for the facility or specialty orders.
  • Coordinates company events such as summer luncheon and holiday party.
  • Supports Seaway involvement with the community and coordinates charitable activities.
  • Performs administrative support for multiple departments such as reporting, announcements, and research utilizing Microsoft Office Suite and manufacturing software.
  • Acts as the hub for the front office where visiting guests and employees are assisted in a positive manner.
