About The Position

The Office Administrator is responsible for providing a positive first impression to visitors and serving as the voice of Seaway when answering phones. This role supports multiple departments with specific project work, ensuring tasks are completed in a timely and high-quality manner. The Office Administrator acts as the hub for the front office, assisting visiting guests and employees in a positive and efficient way. This position requires a self-starter with the ability to work independently and collaboratively, taking initiative and adapting to changing assignments and priorities. The ideal candidate will be a positive ambassador for Seaway, both internally and externally, and will enjoy creating and improving processes.

Requirements

  • High School Diploma or higher
  • 3-5 years experience in office administration
  • Extensive software skills, Microsoft Excel, and internet research abilities
  • Highly adept at navigating a computer including creating and organizing electronic files, typing 40+ wpm, email, and drafting professional documents
  • Strong communication skills, both written and verbal
  • Ability to organize, multitask, and prioritize
  • Confident, upbeat, outgoing, and friendly
  • Ability to work independently and collaboratively
  • Self-starter; responsive team player with the interest to take initiative
  • Enjoys working on several things at once with the ability to adapt to changing assignments and priorities
  • Passion for being a positive ambassador for Seaway internally and externally

Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Notifies company personnel of visitor arrival.
  • Maintains security by following procedures, monitoring logbook, issuing visitor badges.
  • Maintains safe and clean reception area.
  • Answers, screens, and forwards incoming phone calls while providing basic information when needed; maintains internal phone extension directory.
  • Receives and sorts daily mail, deliveries, and couriers.
  • Performs clerical duties such as filing, photocopying, scanning, faxing, and mailing.
  • Schedules and maintains main conference room calendars, coordinates meeting details as needed, runs errands, orders food for business meetings and events.
  • Coordinates and manages administrative service suppliers such as food vendors, cleaning service, coffee and water service, phone system, etc.
  • Orders office supplies for the facility or specialty orders.
  • Coordinates company events such as summer luncheon and holiday party.
  • Supports Seaway involvement with the community and coordinates charitable activities.
  • Performs administrative support for multiple departments such as reporting, announcements, and research utilizing Microsoft Office Suite and manufacturing software.
