We currently have a career opportunity for an Office Administrator to join our team located in St. Louis, MO. The Office Administrator is a key resource in the operating unit’s back office ensuring adequate administrative support is provided to all resources and customers at multiple office locations. This role has daily interaction with all resources across the company and our internal Operations Management teams on a regular basis. Requirements

  • One year related experience or an Associate’s degree in Business desirable.
  • Attention to detail.
  • Intermediate knowledge of Microsoft Office – Outlook, Excel, Word, & PowerPoint.
  • Excellent communication skills.
  • Strong initiative and desire to excel.
  • Ability to multi-task and prioritize tasks to manage meeting deadlines.

  • Experience in the professional services industry preferred.

Responsibilities

  • Office coordination and maintenance responsibilities which include, but not limited to the following duties required to support the working location: distribute access badges and keep up with monthly badge list; pick up and distribute mail; order catering for meetings and events in the office; proactively order office and kitchen supplies and maintain stock in store room and in lunch room; coordinate office IT needs, keep printers stocked, and understand the in-office AV equipment; ensure conference rooms are tidy, equipped with working phones, necessary cables, and white boards are wiped down; and maintain general order and décor in the office.
  • Receptionist duties - Answer phones, welcome and greet guests, book conference rooms, sign for FedEx and UPS packages, maintain office distribution list, monitor and maintain Pitney Bowes machine.
  • Receive and validate invoices – reconcile invoice charges, prepare invoices for Accounts Payable processing, and obtain required approvals for payment.
  • Monthly corporate credit card reconciliation.
  • Assist managers with planning and scheduling meetings, special events - large and small.
  • Point of contact for building maintenance, facilities staff, and cleaning management.
  • Ad Hoc requests as needed by Corporate resources and by local resources in the supported office.
