Requirements

  • More than 1 year of experience in reception or a similar administrative role
  • Strong communication and interpersonal skills with a professional phone manner
  • Proactive mindset with the ability to deliver courteous and prompt client service
  • Ability to handle sensitive and confidential information with discretion
  • Strong multitasking abilities and flexibility in a team-oriented environment
  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

Nice To Haves

  • Ability to communicate in French is considered an asset

Responsibilities

  • Welcome and direct clients and visitors in a cordial and professional manner
  • Answer phone calls through the MS Teams platform and respond to maintenance and security requests
  • Maintain, reserve, and support conference rooms, including client catering coordination
  • Monitor logbooks, issue visitor badges, and coordinate access to workstations, lockers, and parking
  • Distribute security cards and ensure cardholder agreements are completed for employee onboarding and departures
  • Support the Facilities team with service request management across offices
  • Maintain a clean, tidy, safe, and fully functional reception area
  • Manage mail, packages, invoices, and cheque distribution while maintaining floor plans (including tools such as Flowscape where applicable)
  • Provide administrative support as requested by the Regional Facilities Manager
  • Manage office services including coffee stations, supplies ordering/distribution, and visitor technology experience (WiFi, monitors, connections)
  • Record and track walk-in service requests and complaints
  • Perform additional assigned administrative and operational tasks as required
