About The Position

Boeing Aerospace Operations Boeing Global Services (BGS) is looking for an Experienced Office Administrator to join our team in San Antonio, TX. This role involves coordinating and processing domestic and international business travel, monitoring business traveler logistics, generating expense reports, and reconciling corporate credit card charges. The administrator will also be responsible for creating, editing, and maintaining electronic and written communications, tracking department operations, and processing incoming and outgoing correspondence. Additionally, the position requires prioritizing and scheduling management-level employee time, planning and implementing logistics for executive events, ordering and maintaining office supplies, and providing guidance to less experienced employees. The role operates under limited supervision.

Requirements

  • 3+ years of experience supporting senior executives
  • 3+ years of experience making domestic and/or international travel arrangements and generating expense reports
  • 3+ years of experience supporting calendars, travel and meetings for higher level management
  • 3+ years of experience composing and editing documents in Microsoft Word, Excel, Outlook and PowerPoint
  • High School Graduate or equivalent (GED)

Nice To Haves

  • 3+ years of experience with data analytics
  • 3+ years of experience converting data into a presentation
  • 3+ years of experience in a role which required strong interpersonal and communication skills
  • Ability to build an effective network of resources to assist with responsibilities as needed.

Responsibilities

  • Coordinate and process domestic and international business travel arrangements
  • Monitor designated business traveler logistics
  • Generate expense reports and assist in reconciling corporate credit card charges
  • Create, edit and maintain electronic and written communication
  • Track and maintain information related to department and business operations
  • Verbally communicate a wide variety of information to multiple audiences
  • Process incoming and outgoing communication and correspondence

  • Track and maintain designated conference room schedule
  • Assist in planning and implementation of logistics for executive level internal and external events
  • Coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources
