About The Position

The Office Administrator will be responsible for the front desk and general office duties, assisting with invoice coordination, business expense processing, and supporting the administration and management staff in various states while always cultivating and maintaining positive business relationships. Brice Inc. has a fast-paced multi-tasking office environment requiring a high degree of efficient and effective performance. At times, work is performed outside of the office at indoor and outdoor job sites. Adaptability regarding schedule and design changes and occasional overtime for immediate field support or bid processing may be necessary.

Requirements

  • High School Diploma or equivalent required.
  • Valid state driver’s license and be qualified to operate a vehicle under the conditions of the Company’s Driving Policy.
  • Ability to pass a drug, driving and background screenings.
  • Knowledge of basic administrative skills and ability to perform related tasks.
  • Excellent analytical and technical skills.
  • Ability to demonstrate strong project management and organizational skills.
  • Ability to manage time effectively.
  • Excellent oral and written communication skills, and ability to multi-task.
  • Ability to work in a team environment.
  • Ability to operate standard business computers utilizing business applications Microsoft Office Suite.
  • Ability to learn new applications.
  • Ability to learn and understand the Company’s Standard Operating Procedures (SOPs).
  • Ability to do basic math: addition, subtraction, division, multiplication, and finding percentages.
  • Ability to do business ethically with customers, vendors, and co-workers.
  • Ability to work with a high level of accuracy.
  • Ability to exercise resourcefulness in assisting management & co-workers.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.

  • Ability to safely and efficiently operate a motor vehicle.
  • Ability to work in a Native Corporation multi-business environment.

Nice To Haves

  • Previous office administration experience preferred.
  • Administration construction and marine experience preferred.

Responsibilities

  • Preparing and processing all expense reports, per diems, reimbursements & personal mileage reports.
  • Assisting with the flow of the OnBase invoice system.
  • Maintaining the organization of various files and project documents.
  • Reconciling vendor statements and expense statements.
  • Tracking contracts, purchase orders, and subcontracts with the administration team.
  • Providing front desk support, greeting visitors, answering, and directing incoming calls, as well as taking messages.
  • Assisting in general office duties, including making copies, scanning documents, and mailing.
  • Ordering and organizing office supplies.
  • Opening, sorting, and distributing incoming mail, and preparing outgoing mail with the correct postage.
  • Working in a constant state of alertness and in a safe manner.
  • Performing other duties as assigned.
