About The Position

Calista Brice LLC is seeking an Office Administrator for its Civil Business Unit (CBU). This role is based on-site in Morgan City, LA. The Office Administrator will be responsible for front desk duties, general office operations, assisting with invoice coordination, processing business expenses, and providing administrative support to management staff across various states. The position requires cultivating and maintaining positive business relationships.

Requirements

  • High School Diploma or equivalent required.
  • Valid state driver’s license and be qualified to operate a vehicle under the conditions of the Company’s Driving Policy.
  • Ability to pass a drug, driving and background screenings.
  • Knowledge of basic administrative skills and ability to perform related tasks.
  • Excellent analytical and technical skills.
  • Ability to demonstrate strong project management and organizational skills.
  • Ability to manage time effectively.
  • Excellent oral and written communication skills, and ability to multi-task.
  • Ability to work in a team environment.
  • Ability to operate standard business computers utilizing business applications Microsoft Office Suite.
  • Ability to learn new applications.
  • Ability to learn and understand the Company’s Standard Operating Procedures (SOPs).
  • Ability to do basic math: addition, subtraction, division, multiplication, and finding percentages.
  • Ability to do business ethically with customers, vendors, and co-workers.
  • Ability to work with a high level of accuracy.
  • Ability to exercise resourcefulness in assisting management & co-workers.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.

  • Previous office administration experience preferred.
  • Administration, construction and marine experience preferred.

Responsibilities

  • Preparing and processing all expense reports, per diems, reimbursements & personal mileage reports.
  • Assisting with the flow of the OnBase invoice system.
  • Maintaining the organization of various files and project documents.
  • Reconciling vendor statements and expense statements.
  • Tracking contracts, purchase orders, and subcontracts with the administration team.
  • Providing front desk support, greeting visitors, answering and directing incoming calls, and taking messages.
  • Assisting in general office duties, including making copies, scanning documents, and mailing.
  • Ordering and organizing office supplies.
  • Opening, sorting, and distributing incoming mail, and preparing outgoing mail with the correct postage.
  • Working in a constant state of alertness and in a safe manner.
  • Performing other duties as assigned.
