About The Position

Connect for Health has a great opportunity for an Office & Administrative Assistant. Connect for Health Colorado is a public, non-profit entity established by the Colorado General Assembly in 2011 to create a health insurance Marketplace. Since 2013, we’ve been helping individuals, families, and small employers compare plans, apply for financial help, and buy health insurance. As Colorado’s official health insurance marketplace, we are the only place to apply for financial help to lower the monthly cost of premiums. Customers can shop online; get help by phone or online chat from Customer Service Center representatives; and access expert help from a statewide network of certified Brokers and community-based Assisters. Our mission is to increase access, affordability, and choice for individuals and small employers purchasing health insurance in Colorado. For more information: ConnectforHealthCO.com Position Summary: The Office & Administrative Assistant is an integral member of the office management team. They will assist in maintaining the day-to-day office operations, including providing support for in-person customers, as well as performing supportive administrative functions for senior-level officers as needed. This role will support the office management team in other areas of the organization with administrative tasks such as mailroom duties, events, Board of Directors, and other departments.

Requirements

  • Colorado resident.
  • Minimum of three years’ experience in office administration, customer service/issue resolution, associate’s degree or equivalent preferred.
  • Strong computer and research skills and proficiency working with Microsoft products.
  • Proficiency with office management systems and procedures.
  • Excellent interpersonal abilities, time management skills, and ability to multi-task and prioritize work.
  • Ability to maintain confidentiality.
  • Friendly and collaborative.
  • Meeting planning, calendar, coordination, and event experience.
  • Highly organized, flexible, responsive, and ability to multitask and troubleshoot.
  • Excellent communications skills both verbal & written.
  • Ability to work well with all levels of internal management and staff, external clients, and vendors.

Nice To Haves

  • Associate’s degree or equivalent preferred.
  • Experience with Microsoft CoPilot, Anthropic Claude preferred.
  • Knowledge and experience with technical systems and applications such as Jira and Power BI preferred.
  • Experience in a fast-paced environment preferred.
  • Bilingual English/Spanish skills preferred.

Responsibilities

  • Assist in support for the executive level team, including calendar management, leadership organization and management, production of materials, and other information dissemination activities.
  • Coordinate logistics and provide support for projects, project meetings, and events, including securing sites, webinar/phone set-up, audio & visual set-up, development of agendas and materials, as needed.
  • Routinely meet with assigned executives to review and provide support in meeting departmental needs, goals, and objectives.
  • Support the preparation and management of reports, financial data, manuals, correspondence, and other documents.
  • Generate scheduled reports from Jira and Power BI as requested, ensuring they are completed accurately and delivered of high quality and in a timely manner.
  • Manage security system door and building access as an additional emergency on-call contact.
  • Perform onboarding/offboarding tasks for employees.
  • Assist in planning, scheduling, catering, coordinating, and hosting board and committee meetings and other events, including disseminating and archiving board materials and meeting minutes.
  • Create presentations in PowerPoint and Word as requested.
  • Staff the front desk of C4HCO office during normal business hours and assist customers by receiving paperwork and facilitating conversation with Customer Operations staff should any questions arise.
  • Perform sorting, scanning, and distribution of mail.
  • Assist with any physical office changes or repairs, such as rebuilds, furniture and peripheral changes, and equipment repair.
  • Assist in maintaining records, including inventory, orders, supplies, and maintenance documentation.
  • Act as an additional contact for building management, maintenance, engineering, janitorial, security, and other service vendors.
  • Cross-train with team members and help cover during absence of other office and administrative team members as needed.
  • Perform in-office operations, including greeting visitors and customers, maintaining supplies, routing voice messages, and maintenance documentation.
  • Maintain a neat, clean, and professional workspace as well as personal appearance, and observe the established C4HCO dress code.
  • This role requires full-time, on-site presence during regular business hours (Monday – Friday 8:00 am – 5:00 pm).
  • Maintain confidentiality, information security, and ethical behavior when managing all company and records information.
  • Perform other duties as assigned.
