About The Position

Our Office Administrative Assistant plays an integral role in keeping our day-to-day operations running smoothly. This person provides support for overall office administrative duties to support the engineering and corporate functions of the office. They will provide strong, reliable support for operations by providing company-wide support, facilitation of office operations, and properly representing our corporate office as the first face visitors see when they walk in. Our Project Coordinators assist the Project Managers and Project Engineers with the day-to-day activities and responsibilities associated with the management of interesting and complex projects.

Requirements

  • An Associate’s Degree or Bachelor’s Degree.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the Internet.
  • Strong organizational and multitasking skills with a keen eye for detail.
  • Must maintain safe driving record and valid Colorado Driver's License for occasional deliveries or pick-ups.
  • Requires the ability to pass background checks, security screenings or drug testing as required by our clients and/or Federal contracts.
  • Must be authorized to work in the United States.

Responsibilities

  • General receptionist duties including greeting visitors.
  • Coordination with Building Management for two offices regarding building maintenance and management.
  • Taking inventory and coordinating the restocking of company supplies and office snacks.
  • Setting up meetings including food and logistics.
  • Scheduling meetings for departments.
  • Printing, shipping, and mail delivery.
  • General office upkeep includes kitchen, print room and conference room organization.
  • Errands as needed including dry cleaning, pick-up orders, etc.
  • Maintains safety supplies and equipment check-out program.
  • Asset management.
  • The role of this position is to help support all functions. The successful candidate with be willing and able to take on numerous tasks and duties as assigned.
  • Coordinate with team members to process project documentation including specifications, reports, meeting minutes and other documents.
  • Edit reports for clarity and presentation.
  • Process sub-consultant agreements, change order management.
  • Assist in establishing project deliverable information, issuing to team members, tracking deliverables, and providing “day-of-deliverable” support.
  • Perform routine audits of project directory to ensure compliance with company standards.
