About The Position

This is a part-time Office Administrative Assistant position. The role involves a variety of tasks to support office operations, including processing receipts, managing documentation, handling customer orders and inquiries, maintaining records, and assisting with general administrative duties. The position requires strong organizational skills, attention to detail, and the ability to work independently and collaboratively.

Requirements

  • Legally authorized to work in the US without current or future sponsorship for employment visa.
  • Valid driver license.
  • Ability to report to the office every morning using own or public transportation.
  • Read, write, and speak business-level English and Japanese.
  • Ability to lift a minimum of 40 pounds.
  • Able to type 30 words per minute without mistakes.
  • Ability to stay seated for 4+ hours.
  • Proficiency in MS Office Suite (PowerPoint, Excel, Word, Outlook), Windows operating system, and Google.
  • Punctual.
  • Ability to collaborate and cooperate with own department and other departments.
  • Able to manage tasks with precision and speed.

Responsibilities

  • Process receipts for office staff, ensuring correct information and reimbursement procedures are followed.
  • Enter receipt information into the purchase item list and submit to headquarters by the due date.
  • Manage, fill out, and submit time attendance sheets.
  • Manage and create customer lists, NET pricing forms, Terms and Conditions, and contracts.
  • Troubleshoot shipping problems.
  • Process customer orders and orders forwarded from sales representatives.
  • Update customer lists and AR lists daily.
  • Contact customer accounting departments via phone or email to ensure timely payments.
  • Prepare sample kits.
  • Assist with sending direct mail (DMs) and shipping packages.
  • Update target sales sheets for each customer.
  • Schedule appointments with customers.
  • Monitor office supply inventory and order supplies with manager approval.
  • Manage and check sample inventory twice monthly (mid-month and end-of-month), ordering with manager approval.
  • Answer phone calls.
  • Receive packages.
  • Manage morning announcements and company notices.
  • Report daily progress, issues, and proposals to the manager.
  • Perform other tasks as assigned by the manager.
