About The Position

GTI Fabrication is seeking a highly organized, strategic, and service-oriented Office Administration Manager to lead the administrative operations of the facility while supporting overall business efficiency, employee experience, and operational excellence. This role serves as a key business partner to Leadership, Human Resources, Operations, Safety, Engineering, and Finance by overseeing office administration, vendor management, travel programs, visitor experience, document control, and administrative support functions.

Requirements

  • Bachelor's degree in Business Administration, Operations Management, Human Resources, or related field preferred.
  • 5+ years of progressive experience in office management, business operations, administrative leadership, or related functions.
  • Experience developing processes, procedures, and administrative systems.
  • Experience managing vendors, contracts, budgets, and service providers.
  • Strong project management and organizational skills.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint).
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Demonstrated leadership, problem-solving, and decision-making abilities.
  • High level of professionalism, discretion, and confidentiality.

Nice To Haves

  • Experience supporting manufacturing, industrial, construction, or operational environments.
  • Experience supporting HR, recruiting, travel administration, or workplace operations.
  • Experience with ERP, HRIS, ATS, or document management systems.

Responsibilities

  • Lead all site administrative functions and office operations.
  • Develop, implement, and continuously improve administrative policies, procedures, and service standards.
  • Establish scalable administrative systems and workflows that support company growth and operational efficiency.
  • Create and maintain company standards related to visitor management, travel coordination, office operations, meeting support, and administrative services.
  • Identify opportunities to improve internal processes, reduce administrative burden, and enhance employee and customer experiences.
  • Serve as the primary subject matter expert for administrative operations and workplace support functions.
  • Oversee daily office operations to ensure a professional, organized, and efficient work environment.
  • Manage office resources, equipment, supplies, and shared spaces.
  • Coordinate executive visits, customer tours, candidate interviews, and vendor meetings.
  • Serve as an ambassador for GTI by ensuring every interaction reflects the company's values and culture.
  • Source, evaluate, negotiate, and manage relationships with office vendors and service providers.
  • Establish preferred vendor partnerships for office supplies, breakroom services, catering, printing services, travel providers, cleaning services, and related business needs.
  • Monitor vendor performance, service quality, and contract compliance.
  • Negotiate pricing and identify opportunities for cost savings and operational improvements.
  • Review vendor agreements and make recommendations regarding renewals, replacements, and service enhancements.
  • Develop and manage company travel policies, procedures, and standards.
  • Manage travel-related issues including schedule changes, cancellations, and emergency adjustments.
  • Partner with Human Resources and Hiring Managers to coordinate interviews and recruiting activities.
  • Support candidate scheduling, travel arrangements, site visits, and interview logistics.
  • Assist with hiring events, job fairs, workforce expansion efforts, and recruiting initiatives.
  • Provide administrative support to Leadership and key business functions as needed.
  • Coordinate meetings, calendars, presentations, reports, and business communications.
  • Assist with preparation and management of manufacturing documentation and internal process controls.
