About The Position

The Office Administrative Associate for the Department of Engineering Education (EED) supports the department through the coordination, implementation, and/or management of departmental functions. This role involves coordinating Project Lead the Way and transfer credit reviews, handling logistics for the Engineering Science Minor (ESM), assisting with onboarding new faculty, staff, and students, and managing course entries and classroom assignments through the Student Information System (SIS). The associate will also track EED supplies and inventory, manage office supplies, assist with overall office management tasks such as textbook ordering and key distribution, and coordinate classroom and mail delivery schedules. Additionally, this position manages the EED purchasing card, leads event planning including EED Orientation, supports Assistant/Associate Chairs, serves as backup to the EED Chair’s Assistant, and performs other duties as assigned.

Requirements

  • High School diploma or GED.
  • 2 years of relevant experience required.

Nice To Haves

  • Certification or vocational training may be required.
  • Associate degree in relevant field may be preferred.
  • 4-6 years of relevant experience preferred.
  • Real-time systems coding.
  • Worked with ultrasound images for AI based diagnosis.
  • Has published at least one paper in computer vision or AI conferences.
  • Ability to effectively engage with multiple institutions, including collaborations between The Ohio State University (OSU) and the University of Arizona (UA).

Responsibilities

  • Coordinating Project Lead the Way and transfer credit reviews with the Assistant Chair for Undergraduate Studies and liaising with students and the Registrar’s Office.
  • Handling logistics of Engineering Science Minor (ESM) by maintaining current spreadsheet of ESM students, communicating with students and their major advisors regarding approved minor forms and Degree Audit Reports, and communicating ESM details with EED’s Director of Multidisciplinary Design Capstone.
  • Assisting Program Assistant with onboarding new EED faculty, staff, and students.
  • Utilizing the Student Information System (SIS) to enter all EED courses and secure teaching classrooms, serving as EED liaison for undergraduate courses with Registrar’s Office.
  • Tracking EED supplies/inventory and maintaining adequate levels of office supplies, utilizing e-request system to order supplies as needed.
  • Assisting with overall office management including textbook ordering, disbursement and tracking of keys, mail delivery, carpet cleaning and classroom cleaning schedule, final exam schedules, department room reservations.
  • Managing EED purchasing card.
  • Leading and coordinating planning of EED events, including EED Orientation.
  • Supporting Assistant/Associate Chairs as needed.
  • Serving as backup to Program Assistant (EED Chair’s Assistant).
  • Performing other duties as assigned.
