About The Position

This role supports the Ocean Import manager/supervisor in the smooth running of the department. It requires knowledge of the ocean import product in the market through a focus on Operations, Finances, Sales, People, Systems, and Culture, all in adherence to company policy and procedures.

Responsibilities

  • Monitor compliance at all times to regulations, including internal policies and procedures (Operational Process Standards - OPS) and external government regulations or customer policies/requirements.
  • Understand department process flow, constantly looking for areas of improved efficiency.
  • Ensure all customers' standard operating procedures are followed as per the DLSOP.
  • Provide timely responses to emails (within 24 hours) and voicemails (within 1 hour).
  • Ensure system reports are utilized effectively for operations supervision, including COB no CDR Report, Missing RLS/CLR Report, LOG no FRL Report, BNF no INV/IBB Report, Consol Not Settled, EDE Report, and Accounting Reports (A/P Reserve/Disputes/Bad Debt/AJAX/CLH/BNP/Draft Payable).
  • Review workflow tasks daily to confirm completion.
  • Support the Manager/Supervisor in building and maintaining strong relationships with vendors: steamship lines, trucking companies, CFS warehouse, rail terminals.
  • Learn the business handled, including container count and monthly/yearly revenue budget.
  • Support after-hours operations if needed.
  • Meet weekly or more if required with the department manager.
  • Proactively work to maintain accounts payment within 30 days.
  • Attend account discrepancy meetings.
  • Ensure company credit procedures are followed and utilized effectively (credit extensions, branch credit request, CASH account procedures, FRL process, DAP policy).
  • Quote and file ocean rates timely and compliantly.
  • Support the manager and/or the sales department where needed, taking an active role in the transition of new business/updates to existing business, including rate schedule updates, SOP creation and maintenance, account review with operations staff, introductory meetings with customers, and proactive establishment of tactical account management.
  • Meet weekly with the manager to further develop leadership skills.
  • Identify, develop, and mentor your No. 2 and 3 with the manager.
  • Support the manager where needed.
  • Ensure employees meet company standards of 52 hours training per year.
  • Allocate workloads within the team to ensure smooth operations during peak activity or staff absence.
  • Participate in monthly One-On-Ones and yearly reviews per employee.
  • Contribute to effective weekly department meetings with the team.
  • Meet monthly to review alignment with the Manager for department goals and direction.
  • Review department goals and business plan periodically with the team to ensure buy-in and accountability.
  • Ensure the department is using all system tools to their greatest advantage.
  • Be open to implementing new system changes and enhancements into the department.
  • Be involved and suggest system/process improvements.
  • Set the tone of the environment within the department.
