About The Position

This is a direct-hire, full-time, on-site position based in Elizabeth, New Jersey. The Ocean Export Specialist manages processes and procedures for ocean export and ocean freight forwarding activities, ensuring the timely and accurate movement of freight and information while providing exceptional customer service. The role requires knowledge of export and import regulations and other government agency rules governing exports, along with an understanding of ocean export processes, EEI, and NVOCC and non-NVOCC operations. The specialist coordinates shipments from pickup and booking through documentation, tracking, and delivery, and works with customers, carriers, agents, vendors, customs brokers, and other partners. The position also supports operational compliance, cost control, revenue growth, and efficiency improvements.

Requirements

At least 2 years of ocean export experience in freight forwarding.
Experience with freight forwarding ocean operations processes and procedures.
Experience with bonded freight and cargo.
Excellent customer service and communication skills.
Strong attention to detail and problem-solving abilities.
Basic software skills, including Microsoft Office and Microsoft Excel.
Must be eligible to work in the United States.
Must pass TSA eligibility screening.

Responsibilities

Demonstrate a strong emphasis on customer satisfaction in accordance with company policy.
Manage complete ocean shipment processes, including pickup or inland transportation arrangements, booking, document preparation, and tracking shipments through final destination.
Receive, review, process, distribute, and release shipment documentation accurately and on time to carriers, customers, and agents.
Obtain and prepare shipment quotes, identify suitable transportation methods, and coordinate with overseas agents on pre-alerts and documents.
Maintain professional relationships with ocean intermediaries, transportation agencies, and sales teams.
Take booking requests, ensure bookings reflect current and accurate rates, and consolidate and route shipments according to local office procedures.
Identify options to reduce costs and increase revenue.
Arrange and book steamship shipments and issue timely pre-alerts after on-board notifications are confirmed.
Prepare and review export documents, including bills of lading, invoices, certificates of origin, shipping instructions, export declarations, and AES filings where applicable.
Arrange container pickup and return to the shipyard.
Coordinate daily shipments, including documentation, monitoring, pickup arrangements or dispatching, carrier communications, and invoicing.
Communicate promptly with vendors, shippers, customers, carriers, overseas agents, freight forwarders, customs brokers, and local pickup and delivery companies about pre-alerts, rates, and shipment status.
Track and trace shipments and provide updates to clients and sales.
Respond promptly to emails and rate requests and assist local sales efforts.
Review standard operating procedures and help ensure compliance with FMC, Quality Assurance Standards, TAPA, IMDG, ISO, Customs, and other applicable requirements.
Understand department process flow and identify best practices to improve operational efficiency and productivity.
Complete inbound and outbound moves, including ITs and permits to transfer.
Provide backup coverage for alternate accounts.
Escalate problems to management when necessary.
Perform other duties assigned by the Department Manager.
