About The Position

Eisan is looking for an Occupational Health Clinic Coordinator to join our team! The Occupational Health Clinic Coordinator plays a vital role in managing information flow within our clinic. This role requires hands-on patient care and clinical support as a cornerstone of our occupational health team. This specialized role combines LPN-level clinical competencies— including vital sign assessment, drug and alcohol screening, and related clinical procedures - paired with care coordination expertise. The position requires a clinically skilled professional who can arrange, manage, and triage technical health assessments while serving as a trusted clinical liaison between patients, employers, and healthcare providers in a dynamic occupational health setting. The schedule is Mon-Fri 8:00-4:00pm.

Requirements

  • Strong knowledge of medical terminology and healthcare documentation standards.
  • Demonstrated proficiency in Netcare and EMR Med Access systems.
  • Advanced skills in Microsoft Office suite and Adobe applications.

Responsibilities

  • Serve as the clinic liaison for employees, patients, and multidisciplinary healthcare teams to facilitate seamless care transitions.
  • Triage incoming clinical communications (including phone calls) and inquiries with professionalism and efficiency.
  • Must be able to triage and prioritize urgent medical inquiries requiring immediate nursing or physician intervention.
  • Provide comprehensive clinical and administrative support to Occupational Health Nurses and Physicians during assessments and procedures.
  • Schedule patient appointments for tests and treatments while maintaining confidential patient records and charts.
  • Oversee records management, supply ordering, and data management.
  • Execute accurate project and clinic data entry with attention to detail.
  • Coordinate on-site operations including vendor management, receiving confidential medical documents, and making travel arrangements (when needed).
  • Manage invoicing processes from orientation through completion, including program oversight.
  • Handle front-end vendor management (workers' compensation, certificates, correspondence).
  • Conduct back-end vendor management, including audit results verification during invoicing.
  • Provide tailored service approaches for diverse client portfolios including timely routing of urgent medical information.
  • Facilitate clinical handoffs and care coordination with registered nurses, ensuring continuity of occupational health services.
  • Monitor, perform, and report Drug & Alcohol (D&A) testing results to various clientele.
  • Maintain accurate immunization platform data entry (IDSM).
  • Manage and process project-specific results and documentation.
  • Manage multi-channel communications including phone, email, and fax intake.
  • Facilitate effective communication with registered nurses within the clinic environment.
  • Collaborate closely with the Occupational Health Clinic Lead on new service requests.
  • Ensure timely and professional response to all stakeholder inquiries.
  • Maintain Netcare access and utilize electronic medical records (EMR) systems effectively.
  • Coordinate family practice operations including booking, office maintenance, referrals, and follow-up.
  • Manage aviation medical services including scheduling, client instructions, document handling, and payment processing.
  • Facilitate in-clinic bookings, document preparation, and coordination with healthcare providers.
  • Route clinical results to appropriate physicians and occupational health nurses promptly
  • Manage supply ordering for both office and clinic operations.
  • Coordinate specimen pickup arrangements with laboratory partners as required.
