About The Position

The Associate Occupational Health Medical & Administrative Assistant provides foundational administrative and clinic support within onsite occupational health services in a manufacturing environment. This entry-level role supports documentation accuracy, scheduling, clinic readiness, and regulatory record maintenance while learning occupational health processes and compliance standards. Working under close supervision, the Associate focuses on task execution, organization, and developing knowledge of OSHA recordkeeping, workers’ compensation documentation, and clinic workflows.

Requirements

  • Associate degree in Medical Assisting, Healthcare Administration, or a related field; or an equivalent combination of education and experience that demonstrates the ability to perform the essential functions of the role (equivalent to four (4) years total in education and experience).

  • Completion of a Medical Assistant or healthcare vocational training program
  • Experience in a medical office, clinic, or administrative healthcare setting
  • Familiarity with electronic medical record (EMR) systems
  • Strong organizational and data entry accuracy skills
  • CPR / First Aid / AED Certification (or willing to achieve within first 6 months)

Responsibilities

  • Assist with scheduling appointments and coordinating clinic calendars to support daily workflow.
  • Greet employees and support intake processes by collecting basic health information and updating demographic records.
  • Obtain and document vital signs (e.g., blood pressure, pulse, temperature, weight) under established protocols.
  • Prepare employees for examinations and screenings by setting up equipment and ensuring required forms are completed.
  • Assist with basic first aid support and document injury visit details under direction.
  • Perform data entry for medical records, OSHA logs, and compliance documentation with a focus on accuracy.
  • Maintain confidential employee health records in accordance with established procedures and privacy standards.
  • Support injury visit intake documentation and prepare basic visit summaries for review.
  • Assist with tracking required medical surveillance, certification renewals, and follow-up appointments.
  • Prepare and organize documentation for workers’ compensation files as directed.
  • Stock clinic rooms, monitor supply levels, and notify appropriate personnel when reordering is needed.
  • Clean and prepare examination areas in accordance with infection control and universal precaution standards.
  • Support wellness events, screenings, and onsite health initiatives by assisting with setup, documentation, and participant coordination.
  • File, and organize documentation to ensure proper record retention and audit readiness.
  • Follow standard operating procedures for documentation, data entry, and record retention.
