About The Position

WinnCompanies is looking for an Occupancy Specialist I to join our team at Gospel Gardens, a 200-unit property located in Memphis, TN. In this role, you will be responsible for assisting the Property Manager with the initial, interim and annual tenant recertifications at the property or properties. Our offices are open Monday - Friday, and Saturday from 9a-2p. Additional days and hours are required as assigned.

Requirements

  • High school diploma or GED equivalent.
  • 1-3 years of relevant work experience.
  • Experience in property management, affordable/tax credit programs, hospitality, or customer service.
  • Proficiency in Microsoft Office applications.
  • Solid organizational and administrative skills.
  • Excellent customer service skills.
  • Outstanding verbal and written communication skills.
  • Superb attention to detail.
  • Ability to consistently meet required deadlines and follow schedules.
  • Ability to plan and schedule 4 months of work activity.

Nice To Haves

  • Associate's degree.
  • Experience with Yardi or RealPage property management software.
  • SHCM certification.
  • Certified Occupancy Specialist (COS) certification.
  • Certified Professional of Occupancy (CPO) certification.

Responsibilities

  • Process initial, interim and annual recertifications, including notifying residents, conducting interviews, reviewing documentation, and sending verification forms to relevant agencies and organizations.
  • Complete recertification worksheets for HUD office/state agency voucher preparation (Form 50059) and annual Tax Credit reports (Tenant Income Certification TIC), ensuring resident signatures.
  • Assist Property Management staff with property reviews by owners, regulatory agencies, and auditors.
  • Ensure all information is accurate and entered in the Property Management Software, and comply with company policies regarding Tax Credit and Resident files.
  • Assist Property Management staff with move-in processes and ensure files comply with regulations of funding/regulatory agencies like HOME and HIF.
  • Ensure recertifications are fully completed and executed with Property Manager and resident signatures by the due date.
  • Ensure proper treatment and maintenance of residents’ personal and private information in accordance with local, state, and federal law.
  • Ensure the recertification reporting calendar is followed and all reports and tenant letters are run and delivered timely.
  • Maintain and manage all prospect information in a waitlist, complying with regulations for waitlist management, including guest cards, purging the waitlist, and contacting prospects.
  • Engage in marketing activities to increase prospect activities, show vacant apartments, and explain income qualifications and required documentation.
  • Assist Property Management with PBA, Project Based Section 8 or other subsidy contract renewals, including calculation of utility allowances (HUD Contracts).
  • Perform special assignments as needed.
