About The Position

UCSF Health Medical Foundation is a multispecialty physician foundation focused on advanced maternal and pediatric care. They are committed to diversity and inclusion. This role provides clinical support for patients and physicians in OB-GYN and Women's Health clinics, performing both front and back office tasks to ensure smooth patient care and workflows. The position is primarily located in East Bay clinical settings (Berkeley and Hercules) but may cover San Mateo/Peninsula locations.

Requirements

  • High School diploma or equivalent
  • 2 years’ experience as Medical Assistant in OB/GYN or Women’s Health
  • Nationally Certified Medical Assistant or California Certified Medical Assistant
  • Graduate of an accredited Medical Assistant program, which includes injectable training
  • Medical Assistants are required to complete their CCMA exam.
  • Current certification in CPR/BLS from approved agency
  • Evidence of completion of infection control training per 1983 CDC guidelines
  • Basic anatomy and physiology knowledge
  • Medical terminology and abbreviations knowledge
  • Universal Precautions knowledge
  • Must have passed pre-screen assessment prior to hire.
  • Completion of medication test is also required.
  • Candidates must pass Medical Assistant competency exam with 85% for consideration.
  • Competent and validated in AIDET and other service excellence tools and tactics.
  • Competent in adjusting to change and willingness to participate in process improvement projects and tasks.
  • Dosage calculation skills as proven by successful completion of medication test and no less frequently than annual competency assessment.
  • Possess organizational skills and the ability to manage multiple tasks effectively, using lean techniques for standard work.
  • Excellent written communication skills, including accurate grammar, spelling and punctuation.
  • Computer skills including patient scheduling software and EHR.
  • Competent and validated in basic Medical Assisting skills such as medical record documentation, taking vital signs, preparing patients for exam, etc.
  • Ability to efficiently operate office equipment, i.e., computer, telephone, fax, photocopy machine, etc.
  • Ability to establish priorities and coordinate work activities paying particular attention to detail.
  • The ability to manage multiple priorities and demands on time, while remaining calm.
  • Maintain CCMA or AAMA and CPR/BLS certifications from an approved certification agency.
  • Demonstrates a clear understanding of, and consistently adheres to the policies and procedures.
  • Attends and actively participates in department and facility meetings and classes.

  • Ability to operate following equipment: telephone and headset, computer, fax and copy machines, printers, electronic and manual scales, blood pressure devices, electronic thermometers, fetal heart monitor, colposcope, ophthalmoscope, otoscope, O2 pulse oximeters, syringes, stethoscope, wheelchairs, liquid nitrogen supplies, urometer, glucometer, point of care testing equipment and other equipment used in the medical office.

Responsibilities

  • Manage rooming and patient flow, including pre-visit preparation, assisting with patient visits, and post-visit duties.
  • Escort patients to exam rooms promptly.
  • Assist clinicians as a team member when necessary.
  • Employ lean techniques to support smooth patient workflows.
  • Notify patients of delays and offer rescheduling options.
  • Inform providers of schedule changes impacting patient flow.
  • Prepare patients for exams/procedures by reviewing EHR for health maintenance, disease management, and overdue services.
  • Gather necessary documents and signatures for treatment decisions.
  • Ensure exam rooms are clean, stocked, and appropriately set up.
  • Assist in patient education by providing pamphlets and after-care instructions.
  • Refer care outside the Medical Assistant scope to appropriate licensed personnel.
  • Assist clinicians with EHR In-Basket management for prescription refills, results, authorizations/referrals, and non-clinical secure e-messages.
  • Manage patient and pharmacy callbacks in a timely manner.
  • Receive and record lab/radiological test results and ensure they are with the patient's medical record.
  • Communicate normal test results to patients upon clinician direction.
  • Relay clinician instructions/orders to pharmacies, patients, and other entities.
  • Coordinate with clinical teams in developing and maintaining patient education materials.
  • Support individual patient learning needs.
  • Serve as a hub for assuring complex patients complete prescribed care and appointments.
  • Provide 1:1 patient educational support based on OB-GYN standards of care.
  • Provide 1:1 support in connecting patients with pediatricians, hospital registration, pregnancy courses, and community resources.
  • Identify caller needs and execute plans for registration, scheduling, billing/claims, My Chart support, and general questions.
  • Assist in resolving issues and improving quality of care.
  • Ensure necessary authorizations are obtained prior to patient visits.
  • Check-in and check-out patients.
  • Post payments in real time.
  • Update patient demographics.
  • Troubleshoot billing problems.
  • Answer phones professionally.
  • Receive patients at the care center, providing information on services, insurance, and payment policies.
  • Process new patient paperwork.
  • Collect copays and follow up with patients for payment/insurance information.
  • Schedule and confirm appointments.
  • Monitor schedules for capacity.
  • Attend to billing corrections.
  • Distribute incoming paperwork, lab results, and scan records into patient charts.
  • Help maintain office supplies, equipment, and general office systems.
  • Attend to physician and practitioner needs.
  • Report practice workflow, scheduling, and referral concerns to Supervisor.
  • Communicate with Supervisor and Clinical Lead for staff huddles and learning support needs.
  • Wash or sanitize hands per policy.
  • Appropriately use personal protective equipment (PPE).
  • Maintain sterile technique as appropriate.
  • Use standard precautions and safety devices on all syringes.
  • Perform tests and collect/prepare specimens per clinician orders.
  • Follow the 6 rights of safe medication administration.
  • Administer ordered medications (based on specialty specific requirements) via various routes, with competency verification.
  • Follow Medical Assistant Medication Review workflow.
  • Obtain medication review, note allergies, and verify current medications.
  • Document vital signs, medications, and allergies in EHR.
  • Document patient's chief complaint in EHR as exact quotes.
  • Enter verbal dictation from clinician and patient into EHR ('Scribing').
  • Clean and sterilize medical equipment.
  • Maintain daily/weekly/monthly logs for regulatory agencies and policies.
  • Ensure medical supplies are maintained at appropriate inventory levels and are not expired.
  • Maintain the safety and integrity of medical equipment, reporting faulty equipment.
  • Ensure proper disposal of biohazards and sharps waste.
  • Ensure medication cabinets are locked.
  • Perform duties in a self-directed manner with minimal supervision.
  • Ensure routine and priority tasks are completed within established timeframes.
  • Effectively utilize electronic health record, Microsoft Outlook, and MS Office Suite.
  • Take a proactive view of clinician schedules, fill openings, and work to keep schedules full.
  • Provide friendly, knowledgeable, and responsive customer service.
  • Utilize EHR to communicate about appointment details.
  • Keep administrative team members informed of patient/physician needs and schedule changes.
  • Keep Supervisor informed of customer compliments, complaints, or problems.
  • Maintain current knowledge of physicians and practice services.
  • Maintain charting compliance with current standards.
  • Extend a professional and cordial environment.
  • Attend staff meetings and other gatherings.
