About The Position

Directly accountable to the Scheduling Manager. The Nursing Scheduling Clerk is responsible for daily and weekly staffing replacements in collaboration with the Managers, Health Services/Resident Care/Nursing Coordinators and Associate Director(s). Provides support to Nursing Services by maintaining scheduling and attendance records for in excess of 600 employees in the Nursing Department, using a computerized scheduling program. Answers enquiries from nursing staff pertaining to contract benefits, complaints and interpretation of pay statements. Promotes good public relations between the Nursing Department, Nursing Units and other Centre Departments. Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (e.g., utilizing personal, protective equipment as per safe work procedures). Notifies their Manager or their designates (i.e., supervisors) of all occurrences, injuries illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.

Requirements

  • Successful completion of secondary school education.
  • Formal educational program related to secretarial skills or equivalent work experience.
  • Experience in personal computers, ESP and word processing software.
  • Experience in drafting correspondence, processing mail, and receiving and directing callers.
  • Knowledge of collective Agreements and Agency contracts.
  • Knowledge of computer scheduling programs to compile, maintain, analyze, and compare necessary staffing reports.
  • Knowledge of budgetary constraints.
  • Knowledge of general office practices and filing procedures.
  • Ability to communicate effectively orally and in writing.
  • Ability to set priorities and manage time effectively.
  • Ability to handle pressure situations and meet varied and unexpected demands.
  • Ability to interpret and advise regarding Collective Agreement provisions.
  • Effective interpersonal communication.
  • Typing speed in English at a minimum of 65 words per minute with a maximum 5% error rate.

  • Demonstrates knowledge of Personal Health Information Act, Protection of Persons in Care Act, Workplace Hazardous Material Information System (WHMIS), Principles of Routine Practices (Universal Precautions) and other legislated acts.
