About The Position

The Night Auditor is responsible for greeting customers, completing the registration and checkout processes, handling financial transactions, answering telephones, and resolving guest issues. This role also involves performing various supportive functions within the Guest Services Department, including operating office equipment and potentially assisting with PBX and Concierge duties. Due to the nature of the hospitality industry, employees may be required to work varying schedules to meet the business needs of the hotel. Regular attendance and compliance with hotel rules and regulations are essential.

Requirements

  • Considerable skill in the use of a calculator to prepare moderately complex mathematical calculations without error.
  • Ability to effectively deal with internal and external customers, requiring patience, tact, and diplomacy to defuse anger, collect accurate information, and resolve conflicts.
  • Ability to read, listen, and communicate effectively in English, both verbally and in writing.
  • Ability to access and accurately input information using a moderately complex computer system.
  • Ability to stand and move throughout the front office area and continuously perform essential job functions.
  • Hearing and visual ability to observe and detect signs of emergency situations.
  • High school diploma required.
  • Prior hospitality experience preferred.

Responsibilities

  • Greet customers immediately with a friendly and sincere welcome.
  • Use a positive and clear speaking voice, listen to, understand and ask probing questions regarding guest requests.
  • Respond with appropriate action and provide accurate information such as outlet hours and local attractions.
  • Complete the registration process by inputting and retrieving information from a moderately complex computer system, confirming pertinent information, making appropriate room selections, and coding electronic keys.
  • Non-verbally confirm the room number and rate, and provide welcome folders.
  • File registration cards in room number order.
  • Verify and imprint credit cards for authorization.
  • Handle cash, make change, and balance an assigned house bank.
  • Accept and record various forms of payment.
  • Perform accurate mathematical functions using a basic calculator.
  • Post charges to guestrooms and house accounts using the computer.
  • Complete the checkout process by closing out guest accounts and ensuring they are handled acceptably.
  • Ascertain guest satisfaction and negotiate compromises for dissatisfaction.
  • Retrieve registration cards for accounting.
  • Answer the telephone promptly using positive and clear English communication.
  • Input messages into the computer and retrieve and communicate messages to guests.
  • Retrieve mail, small packages, and faxes for guests.
  • Field guest complaints, conduct research, and resolve problems.
  • Remain calm and alert during emergency situations and heavy hotel activity.
  • Plan and implement detailed steps using experienced judgment and discretion.
  • Operate a fax machine, use a photocopier, and perform tasks in other sections of the Guest Services Department.
  • Perform PBX and Concierge duties as needed.
