About The Position

The role is for a sharp, resilient, and highly organized Executive Assistant at its Minneapolis headquarters, supporting the Editor-in-Chief and senior editorial leadership. This is not a standard corporate EA role, as it operates in a newsroom environment where priorities shift with the news cycle. The Executive Assistant will act as a gatekeeper, scheduler, project manager, and diplomat. The ideal candidate is calm under pressure, possesses impeccable judgment, and has a strong interest in news.

Requirements

  • Minimum of 3 years of experience as an Executive Assistant, ideally in media, publishing, communications, or a similarly fast-paced industry.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to handle confidential information (personnel issues, editorial content) with integrity.
  • Ability to work effectively in a high-pressure environment where news may interrupt nights and weekends.

Responsibilities

  • Manage an active and fluid calendar for the editor, prioritizing meetings based on editorial or strategic urgency.
  • Act as the primary gatekeeper, professionally screening calls, emails and community requests.
  • Assist with regular newsroom communications.
  • Manage expense reports and approve invoices for freelancers and contractors in a timely manner. Maintain freelance database.
  • Assist with the organization of newsroom town halls, editorial meetings, training and external donor events.
  • Manages editorial assistant who handles mail, letters to the editor and other newsroom tasks.
  • Track progress on long-term projects to ensure teams are hitting milestones.
  • Track recruitment and hiring process, including scheduling candidate interviews and managing candidate correspondence.
  • Maintain newsroom vendor contracts.
