About The Position

The New Truck Inventory Readiness Coordinator is responsible for ensuring all new truck inventory is prepared, tracked, merchandised, and available for sale as quickly as possible following receipt and acceptance from the factory. Acting as the central coordinator of the inventory readiness process, this individual assumes ownership of each new truck after it has been inspected and accepted by the dealership's receiving team. The coordinator is responsible for photographing incoming inventory, maintaining accurate inventory location records, coordinating movement to and from outside vendors and through Inland’s Service, Wash Bay, Body Shop, and other departments, and ensuring each unit is properly prepared for retail sale. The successful candidate will serve as the "quarterback" of the new truck inventory process, driving accountability across departments and ensuring inventory is professionally presented, accurately tracked, and sale-ready in a timely manner.

Nice To Haves

  • Experience within a truck dealership, automotive dealership, fleet operation, or inventory management environment.
  • Familiarity with commercial truck products and dealership operations.
  • Experience with vehicle photography, inventory merchandising, or inventory control processes.
  • Knowledge of inventory audit procedures and inventory management systems.
  • Drone operator’s license.

Responsibilities

  • Assume ownership of all new truck inventory following factory receipt and acceptance.
  • Coordinate and monitor the progress of each truck through all required preparation stages.
  • Serve as the central point of contact for inventory readiness activities.
  • Ensure trucks move efficiently through internal departments and preparation processes.
  • Proactively identify and address bottlenecks that delay inventory from becoming sale-ready.
  • Maintain visibility of inventory status and communicate delays or concerns to dealership management.
  • Photograph and video all incoming new truck inventory according to dealership standards.
  • Ensure photos and videos accurately represent vehicle specifications, features, and condition.
  • Organize and submit completed photos and vehicle information to the Marketing team for website listings and advertising.
  • Partner with Marketing to ensure inventory is advertised accurately and promptly.
  • Conduct periodic reviews of online inventory listings to ensure photos and information remain current and accurate.
  • Coordinate inventory movement through all required departments, including Service Department for Pre-Delivery Inspections (PDI), Wash Bay for cleaning and detailing, Body Shop for repairs, paint, or cosmetic corrections, and additional departments as required.
  • Work closely with department leaders to prioritize inventory readiness activities.
  • Follow up on outstanding work orders, deficiencies, or delays impacting inventory availability.
  • Ensure all required preparation activities are completed prior to releasing inventory for sale.
  • Maintain accurate inventory records within dealership systems.
  • Ensure the physical location of all new truck inventory is accurately reflected in internal inventory management systems.
  • Update inventory locations as units move throughout dealership facilities and vendor locations.
  • Conduct periodic inventory reviews to verify location accuracy.
  • Investigate and resolve discrepancies between system records and physical inventory locations.
  • Support inventory transfers and ensure location changes are properly documented.
  • Assist with inventory audits conducted by floorplan financing providers.
  • Support inventory verification requirements for external accounting firms and internal audit activities.
  • Physically verify inventory and provide supporting documentation as required.
  • Assist in identifying, investigating, and resolving inventory discrepancies.
  • Maintain accurate records that support inventory control and compliance requirements.
  • Verify that all required readiness activities have been completed prior to sale.
  • Ensure trucks meet company standards for appearance, cleanliness, and presentation.
  • Conduct routine audits of inventory condition and presentation quality.
  • Confirm vehicle information and specifications are accurate when sent to Marketing.
  • Maintain inventory readiness reports and tracking tools.
  • Monitor cycle times from inventory acceptance to sale-ready status.
  • Identify opportunities to improve inventory flow and reduce preparation delays.
  • Support process improvement initiatives that enhance inventory readiness and operational efficiency.
  • Provide regular status updates to dealership leadership regarding inventory readiness performance.
  • Provide support to company event coordinators for local customer, community, and dealership events as required.
  • Assist with event preparation activities, including vehicle staging, inventory logistics, display coordination, and general event setup.
  • Support the transportation and presentation of vehicles used for promotional, customer appreciation, trade show, and community events.
  • Assist with post-event vehicle tracking and inventory reconciliation.
  • Perform other duties and special projects as assigned to support dealership operations and business objectives.
