About The Position

Malman Law is seeking a New Case Coordinator to join our fast-paced and client-focused team. This role is critical in supporting clients at the earliest stages of their case and ensuring matters are properly documented, organized, and advanced efficiently. The ideal candidate is detail-oriented, highly organized, and comfortable managing a heavy workload while communicating professionally with clients, medical providers, and internal team members. This position works closely with attorneys, paralegals, and team leads to move cases toward successful resolution.

Requirements

  • Prior experience in a legal, intake, case coordination, or client-facing role preferred
  • Strong organizational and time-management skills with the ability to manage high-volume requests
  • Excellent written and verbal communication skills
  • Ability to work independently while collaborating effectively within a team environment
  • Comfortable working in a fast-paced, deadline-driven setting
  • Proficiency with case management systems (SmartAdvocate experience is a plus)
  • Commitment to professionalism, client service, and the firm’s mission and values

Responsibilities

  • Maintain familiarity with each case assigned within your caseload
  • Enter and update all case information, deadlines, and notes in SmartAdvocate
  • Perform backup intake calls in accordance with firm intake protocols
  • Coordinate with attorneys, paralegals, and other staff assigned to each case to advance matters efficiently
  • Keep clients informed and provide copies of relevant file documents as appropriate
  • Request, track, and follow up on medical records and medical bills for assigned cases
  • Post all case costs, including expected but not yet invoiced expenses (e.g., investigators, consultants)
  • Monitor dashboard metrics and KPIs, actively working toward maintaining strong performance standards
  • Attend and participate in weekly team meetings and firm-wide trainings
  • Follow and maintain all firm policies, procedures, and compliance standards
