The HVAC Service Scheduler/Dispatcher plays a critical role in ensuring efficient day-to-day field operations by managing work order assignments, tracking technician status, and overseeing job progress in real time. This role is centered on operational logistics, technician resource management, and dynamic field scheduling for commercial and industrial HVAC service calls.

Requirements

  • Minimum 3 years in service territory routing, technician scheduling, and operational dispatch workflows.
  • Proficiency in CRM systems and comfort with digital platforms.
  • Ability to read, analyze and interpret technical periodicals, journals, and technical procedures.
  • Ability to present information and respond to questions from management and customers.
  • Ability to anticipate and resolve practical problems and issues.
  • Ability to produce clear, timely, and concise documentation, plus excellent critical thinking skills.

Nice To Haves

  • Associate’s degree recommended; bachelor’s degree preferred.
  • Background in HVAC or building technologies; field experience a strong plus.
  • Familiarity with HVAC terminology, equipment types, and service ticketing standards preferred.

Responsibilities

  • Scheduling and dispatching service calls to technicians based on availability, location, job urgency, and specific skillsets, utilizing dispatch and routing software.
  • Acting as the primary liaison between the office and field technicians, providing updates, instructions, and support to help resolve onsite challenges.
  • Actively managing the daily schedule, including adjustments for emergency calls, delays, or cancellations, with a focus on maximizing efficiency and minimizing downtime.
  • Reviewing and prioritizing service tickets in alignment with service level agreements, confirming readiness of work orders, and verifying job requirements before dispatch.
  • Monitoring technician and job progress and coordinating the timely delivery of necessary required documents and escalating field service issues as needed.
  • Compiling daily dispatch summaries and working closely with service managers and field supervisors to adapt staffing and workload strategies in response to operational needs.
  • Collaborating with HVAC Service Delivery leadership to set and achieve S.M.A.R.T. goals aligned with department and company initiatives.
  • Staying informed on HVAC service solutions—continuously sharpening your product and service knowledge.
  • Representing Crete United’s mission and values in all interactions, internally and externally.
  • Performing all other related duties as required.
