About The Position

The Manager of Aircraft Records is responsible for overseeing all aircraft maintenance records activities for Northern Air Cargo and ensuring the accuracy, integrity and regulatory compliance of records maintained within TRAX, the company’s system of record. This position supports FAA Part 121 compliance, airworthiness, audit readiness, and operational reliability through the management of aircraft, engine, component, Limited Life Parts (LLP), Airworthiness Directive (AD), Service Bulletins (SB) and maintenance program records. The Manager of Aircraft Records works closely with Engineering, Quality Control/Inspection, Maintenance Planning, Powerplant and Reliability teams and the Materials departments. The Manager of Aircraft Records supervises the Records Department personnel to ensure the safe, compliant, and timely completion of all assigned work in support of uninterrupted flight operations.

  • Ability to write reports, procedure manuals, correspondence, and other related materials
  • Ability to respond effectively verbally and in writing to inquiries from regulators
  • High school diploma, or equivalent
  • Five (5) years’ experience in aircraft maintenance records or technical operations
  • Two (2) years’ supervisory experience
  • Direct experience with TRAX
  • Experience supporting FAA audits, CASS programs, and regulatory compliance initiatives
  • Familiarity with LLP management, AD compliance, Component configurations (NHA/NLA) engineering directives and heavy maintenance records

Nice To Haves

  • Experience with aircraft records for Boeing 737 (Classics and / New Generation) fleets

Responsibilities

  • Leads and manages the Records Clerks, including hiring, training, scheduling and performance management
  • Establishes clear expectations for data accuracy, timeliness and compliance
  • Develops and enforces standardized processes for records entry, validation, and audit controls
  • Serves as the Subject Matter Expert (SME) for aircraft records and TRAX system utilization
  • Ensures all aircraft, engine and component maintenance records are accurately entered and maintained in TRAX in accordance with maintenance and inspection programs (Limited Life Parts (LLPs), Hard Times (HTs), Total Times (TT), Total Airframe Times (TAT), etc. as applicable)
  • Validates compliance with: Airworthiness Directives (ADs), Service Bulletins (SBs), Maintenance Program requirements, Engineering Orders (EOs) and Repairs, Ferry flight, Voluntary Disclosure Reports (VDRs), Service Difficulty Reports (SDRs) , and Incident Report Documentation
  • Ensures complete and accurate aircraft status at all times to support safe operation and return-to-service decisions.
  • Oversees data entry standards, naming conventions, and configuration controls
  • Supports implementation and continuous improvement of TRAX workflows, including: Logbook entries and defect tracking, Minimum Equipment Lists (MEL) tracking and clearance and flight delay data, Task card management and engineering controls, Component transactions (Removals, Installs, Pending/Parts Holds)
  • Coordinates with Engineering and Quality Control to ensure accurate system configuration and data alignment
  • Leads records review and validation for aircraft and engine onboarding and lease returns, including but not limited to: Bridging of maintenance programs, Conformity inspections and documentation, Historical records validation and gap analysis (LLP/HT, TAT, Back to Birth (BTB), Certified Reports)
  • Ensures complete and auditable engine and component builds with TRAX, including: Limited Life Parts traceability, Airworthiness Directive /Service Bulletins compliance, Configuration and positional data
  • Reviews and approves all compliance status reports for internal management and regulatory agencies as required.
  • Audits planned internal A-check work orders for completeness and accuracy prior to release to Maintenance Technicians.
  • Defines digital records keeping process. Manages security and access requirements for all electronic maintenance records and documents. Maintains inventory of all physical and/or digital records to ensure quick and efficient retrieval when required
  • Serves as liaison to the FAA, Internal Quality Assurance and external regulatory agencies, coordinating all records requests.
  • Drives continuous improvement initiatives focused on: Reducing duplicate data entry, Improving data accuracy and turnaround time, Enhancing system utilization at the technical level
  • Develops job aids, training materials, and standard work procedures for records personnel and frontline users and communicate with departmental directors all necessary training/re-training / process change needs.
  • Supports digital transformation initiatives aligned with the Company’s one-system strategy
