This role involves supporting an Executive in the Motion Pictures Business Affairs Department in New York. Nice To Haves

  • 10+ months of administrative assistant experience at a talent agency, management company, entertainment law firm, or comparable environments
  • JD from an accredited University or College
  • BA/BS from an accredited University or College or equivalent work experience

Responsibilities

  • Provide administrative support, including managing heavy phone lines, calendar management, note-taking, scheduling meetings, and general office management.
  • Assist with contract management, file management, database management systems, and client information management.
  • Conduct extensive research, track contract drafts and negotiations, and monitor important negotiating-related calendar dates.
  • Support the review of contracts in motion picture, talent, theater, and literary areas, including comparing drafts, vetting initial contracts against precedent, identifying issues, writing reports, and suggesting resolutions.
  • Create and maintain online client files and databases of pending projects, and develop a working knowledge of historical contracts and agency precedents.
  • Interface with clients, agents, producers, and managers.
  • Coordinate with agent assistants and Contract Administration on contract signings, creating bookings, invoicing, uploading contracts into the database, and filing union contracts.
  • Track payments for clients, including fees, options, royalties, participations, and bonuses.
  • Perform copyright and chain of title research for potential underlying rights deals and copyright termination/recapture.
  • Undertake additional responsibilities as the department expands.
