About The Position

We are seeking a detail-oriented and customer-focused Mortgage Loan Officer Assistant to assist Loan Officers in the end-to-end mortgage application process. This role is critical in ensuring loan applications are complete, accurate, and processed efficiently while delivering a high-quality experience to members throughout the journey. This is a hybrid position requiring a balance of onsite and remote work.

Requirements

  • 3+ years of experience in administrative support, operations, customer service, financial services, HR, or other high-volume professional office environments
  • Proven ability to manage documentation, workflows, or case pipelines, ensuring accuracy, completeness, and timely processing
  • Strong experience communicating with clients, customers, or internal stakeholders via phone, email, and/or virtual channels
  • Ability to multi-task and prioritize in a fast-paced environment, balancing multiple assignments, queues, or requests simultaneously
  • High attention to detail with experience updating systems, tracking progress, and maintaining organized records

Responsibilities

  • Partner with Loan Officers to support the completion of mortgage loan applications
  • Serve as a primary point of contact for members, responding to inquiries and guiding them through documentation requirements
  • Collect, review, and analyze required loan documentation in accordance with established guidelines
  • Support loans through the full lifecycle—from pre-application to post-application
  • Calculate income and analyze asset statements to assess loan eligibility
  • Ensure loan files are complete, accurate, and compliant prior to submission
  • Update and maintain loan data in internal operating systems
  • Manage a high-volume pipeline (average of 45–60 applications per specialist)
  • Utilize internal tools (e.g., pipeline management systems) to track workload and prioritize tasks
  • Maintain daily communication with members via phone (approximately 50%) and virtual channels
  • Work from assigned personal queues and follow established workflows to move applications forward
