Requirements

  • Post-secondary education in business, commerce, finance, business management, or a related field. An equivalent combination of education and experience will also be considered.
  • A minimum of three years of mortgage or financial institution experience.
  • Strong knowledge of mortgage funding processes and documentation requirements.
  • Highly proficient with Microsoft Office Suite, particularly Excel.
  • Experience working with banking and mortgage systems such as Wealthview Banking and Filogix.
  • Exceptional analytical and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Ability to effectively manage multiple priorities and consistently meet deadlines.
  • Strong understanding of accuracy, compliance, and audit requirements.

Nice To Haves

  • Previous audit experience would be considered an asset.
  • Experience with AI‑powered tools like ChatGPT, Copilot, and similar platforms.

Responsibilities

  • Report to the Manager, Mortgage Quality Assurance.
  • Analyze preliminary funding requirements and documentation on assigned mortgage files.
  • Review final solicitor reporting documentation for accuracy, completeness, and compliance with business requirements.
  • Audit mortgage set up information within the Wealthview Banking system to ensure data integrity and accuracy.
  • Prepare and review solicitor instruction packages received from Underwriting Associates.
  • Work closely with solicitors and law offices to ensure documentation requirements are met and land title registration requirements are satisfied.
  • Ensure all solicitor conditions are fulfilled prior to funding and disbursement.
  • Prepare documentation packages for final mortgage disbursement.
  • Coordinate file tracking, follow-up activities, and documentation management to ensure mortgage closing deadlines are met.
  • Forward completed files for digital imaging and processing.
  • Investigate and resolve escalated issues while maintaining a high level of customer service.
  • Maintain reporting and documentation records to support operational effectiveness.
  • Identify process improvement opportunities and contribute to the development of best practices.
  • Collaborate with Underwriters, Underwriting Associates, brokers, solicitors, and customers to support the mortgage funding process.
