About The Position

As a Mitigation Project Coordinator, you play a critical administrative and operational role supporting mitigation projects from start to finish. Working in‑person from our Southampton, NJ office, you provide the structure, organization, and communication that allows Mitigation Project Managers and field teams to perform at their best. This role is the backbone of the mitigation operation—coordinating schedules, maintaining accurate documentation, supporting financial and reporting processes, and ensuring clear, timely communication between internal teams, clients, vendors, and insurance partners. Your ability to take control behind the scenes ensures projects move forward efficiently and predictably during chaotic situations.

Responsibilities

  • Coordinate clerical, administrative, and accounting functions for mitigation projects
  • Support Mitigation Project Managers and Operations leadership with daily project coordination
  • Maintain accurate job files, notes, and documentation within PSA
  • Track project schedules, appointments, and workflow from beginning to end
  • Coordinate office schedules and communicate with customers regarding arrivals, changes, or delays
  • Assist with collections processes, including deductibles, progress payments, and final payments when needed
  • Coordinate and communicate with insurance companies, adjusters, agents, vendors, and clients throughout the project lifecycle
  • Prepare, review, complete, and route project‑related forms, paperwork, purchase orders, and work orders
  • Perform project tracking and reporting, including schedules, metrics, and operational reports using Power BI
  • Provide quick, accurate responses to vendors, agents, and clients
  • Support office staff, production management, and sales teams as needed
  • Answer incoming calls, direct inquiries, and assist clients professionally and empathetically
  • Demonstrate a positive and professional image of the company through written, verbal, and visual communication
  • Apply all safety rules and regulations and help prevent work hazards
  • Perform other administrative and coordination duties as assigned
