About The Position

The Mitigation Coordinator is responsible for supporting mitigation operations through effective job coordination, scheduling, customer communication, and administrative oversight. This role serves as a central point of contact between field technicians, customers, insurance representatives, and internal departments to ensure mitigation projects are initiated, documented, and progressed efficiently. The Mitigation Coordinator plays a critical role in emergency response logistics, job file management, and maintaining service quality throughout the mitigation lifecycle.

Requirements

  • High school diploma or equivalent required; associate degree preferred
  • 2+ years of administrative, dispatch, or coordination experience (restoration industry preferred)
  • Strong organizational and multitasking abilities in a fast-paced environment
  • Excellent communication and customer service skills
  • Proficiency in Microsoft Office and job management software (e.g., DASH, Encircle, Xactimate, or similar)
  • Ability to work flexible hours, including occasional evenings or weekends as needed
  • Ability to pass background checks and drug screening in accordance with company policy
  • Strong attention to detail and accuracy
  • Ability to prioritize and manage multiple active jobs simultaneously
  • Problem-solving and decision-making skills
  • Team-oriented with the ability to coordinate across departments
  • Ability to remain calm and effective in emergency response situations
  • Sit, stand, walk, and drive for extended periods
  • Use standard office equipment including computers and mobile devices
  • Occasionally lift or carry materials up to approximately 25-30 pounds
  • Travel regularly within assigned territory
  • Fingering and Repetitive motions, such as movement of wrists, hands and fingers while picking, pinching and typing during your normal working environment
  • Express or exchange ideas with others quickly, accurately, and receive and act on detailed information.
  • Close visual acuity to perform detail-oriented activities at distances close to the eyes, such as preparing and analyzing data, viewing computer screens and expansive reading.
  • Inside working conditions: The change of building environment such as with or without air conditioning and heating. May be required to travel for short periods of time.

  • Employees operating a company vehicle or driving for company business must maintain a valid driver’s license and an acceptable driving record in accordance with company policy and insurance requirements.

Responsibilities

  • Receive and prioritize incoming emergency service calls and job assignments
  • Schedule mitigation crews based on availability, job urgency, and geographic efficiency
  • Coordinate on-call rotations and after-hours dispatching
  • Monitor job progress and adjust schedules as needed
  • Serve as a primary point of contact for customers throughout the mitigation process
  • Provide timely updates regarding job status, scheduling, and next steps
  • Communicate with insurance adjusters, property managers, and authorized representatives as directed
  • Create and maintain accurate job files in company systems (e.g., CRM, job management software)
  • Ensure required documentation is collected, including: Work authorizations, Photos and moisture logs, Equipment usage logs, Daily progress notes
  • Review job documentation for completeness and compliance with company standards
  • Coordinate equipment needs and logistics with warehouse personnel
  • Track job milestones and ensure timely progression from mitigation to reconstruction handoff
  • Assist in monitoring job costs, notes, and updates for management review
  • Support field teams with administrative needs and communication
  • Ensure adherence to company procedures, IICRC standards, and insurance guidelines
  • Maintain confidentiality of customer and company information
  • Support internal audits, reporting, and quality assurance processes
