About The Position

This role is responsible for a variety of administrative tasks within a mine site, focusing on parts and inventory management, receiving and shipping, reporting and documentation, and payroll and scheduling support. The Mine Administrator will ensure the smooth operation of administrative functions, contributing to efficiency and compliance.

Requirements

Responsibilities

  • Maintain an accurate, organized inventory of parts, components, consumables, PPE, and operating supplies.
  • Assist in sourcing, ordering, and expediting parts to support equipment maintenance and minimize downtime.
  • Coordinate with maintenance, foremen, and suppliers to identify required parts and confirm availability and lead times.
  • Monitor stock levels and reorder points to prevent shortages of critical parts and supplies.
  • Receive, inspect, and shelve parts; ensure proper labelling and storage for efficient retrieval.
  • Track parts usage and maintain records of warranties, returns, and core charges.
  • Receive incoming deliveries, verify quantities and condition against purchase orders and packing slips, and report discrepancies.
  • Process and document receipts in the inventory/Limble system.
  • Coordinate with suppliers, carriers, and the procurement team on deliveries, returns, and backorders.
  • Organize and label stored materials for safe, efficient retrieval.
  • Assist in compiling and preparing daily, weekly, and monthly mine reports (production, downtime, safety, and operational summaries).
  • Track and maintain operational paperwork, ensuring forms are complete, accurate, and filed on time.
  • Gather data from foremen and supervisors and consolidate it into required reporting formats.
  • Maintain organized site records, filing, and documentation (digital and physical).
  • Support compliance and regulatory documentation as required.
  • Assist foremen with collecting, verifying, and entering crew time and attendance.
  • Track rotation schedules, overtime, and shift premiums in line with Alberta Employment Standards and company policy.
  • Help maintain and update crew schedules, coverage, and shift rotations.
  • Reconcile timesheet discrepancies and follow up on missing or incorrect entries.
  • Prepare and submit payroll data to the payroll department by required deadlines.
  • Assist with onboarding paperwork, training records, and compliance documentation.
  • Order and manage office and site supplies.
  • Act as a point of contact for administrative inquiries on site.
