About The Position

The incumbent will be responsible to help budget and prepare associated financial reports for divisional or administrative units (as assigned) including variance and ad hoc analyses. Responsible for the accurate reporting and monitoring of physician productivity as divisions assigned require. The incumbent will be responsible for completing assigned sections for annual budget, monthly variance reports. Will also assist with compensation plan report management and forecasting as needed. The position will manage the workload reporting forms for the Hematology clinical courses, the Oncology MS4 clinical courses and the physician patient relationship program. Monitors all day-to-day financial accounts, including ports, phone lines, postage, Shred-it, etc. for the division. The position will oversee the Adult Infusion Moonlighting and the BMT Moonlighting ADU’s, invoicing Shands monthly, assisting in finding shift coverage for Moonlighting shifts, and reconciling SharePoint and Transactions lists monthly. Collaborate with Department of Medicine DoM finance team to ensure timely receipt of payments from Shands. Clinical Research Operations The position will provide support to our research faculty and research teams, obtaining quotes, processing expense reports, processing approved expenditures, ordering lab equipment, scheduling meetings, and other administrative duties as required. Will work with multiple lab managers to review and pay invoices from multiple vendors for each lab. Will ensure that all division, department, and university procedures are followed and that expenses are in alignment with grant objectives. Additionally, the position will assist the Division Administrator with ad hoc assignments in support of basic science research faculty and laboratories. The position will function as a project manager for define clinical and research initiatives or root causes analysis investigations. Additionally, the position with assist with clinical trial projects as needed, and will process payment for invoices received for active studies. The position will assist with lab relocations. This position will be the direct supervisor to multiple Clinical Research Coordinators. The position will also be the event director for the divisional Symposiums. Human Resources This position will handle all HR related tasks for the processing of lab volunteers, Postdoc/OPS/Research Faculty and staff hires, and faculty assignment reports, asset & space reconciliation, onboarding of new faculty & staff, assist division with promotion and tenure. Will be the backup for creation of the BMT night moonlighting scheduling and will handle all moonlighting payment processes for BMT and Adult Infusion Moonlighting shifts., Ensure HR policies for both UF and Shands are followed. Additionally, the position will serve as the liaison for all HemOnc research faculty recruits. The position will coordinate travel arrangements, including limited to scheduling flights, making hotel reservations, transportation. Create travel authorizations and expense reports along with detailed itineraries for travel events with all relevant information and provides to candidates prior to travel. Collects and process all travel receipts for payment and/or reimbursement or to sponsoring agency if travel is funded from outside sources. This position will serve as the backup for the Division Administrator in their absence. This position conducts onboarding for administrative staff, coordinates with IT to manage technology need and address issues. Order office supplies, including assets and equipment for division. The position will act as the main contact for UFGO assistance within the division. Manage the process of bringing in observers and volunteers for labs and clinic. The position will review and approve division timesheets bi-weekly. Other Duties and Special Projects Prioritize assignments based on urgency or deadlines and works cooperatively with others in the Department to ensure that all assignments are completed in a timely manner and meet or exceed the standards for quality and performance. Other duties and management of special projects as assigned. This position will also serve as the backup for the Division Administrator when they are out of the office.

Requirements

  • Bachelor's degree in an appropriate area and two years of relevant experience; or an equivalent combination of education and experience.
