About The Position

Hard Rock International is seeking a highly organized and detail‑oriented Memorabilia Collections Administrator to support the preservation, documentation, and management of the Hard Rock Memorabilia Collection while also providing operational and archival support for Globe Entertainment and Media Corp—one of the world’s most extensive visual archives chronicling music, Hollywood, pop culture, and sports history. This role blends core collections administration responsibilities with research, imaging, and curatorial support, contributing to exhibitions, digital access initiatives, and long‑term asset stewardship.

Requirements

  • Bachelor’s degree in Archival Studies, Museum Studies, History, Art History, Cultural Studies, or a related field.
  • Experience working in an archive, museum, or cultural institution, particularly with visual or popular culture collections.
  • Strong knowledge of 20th‑ and 21st‑century pop culture, with emphasis on music, film, television, and sports.
  • Experience with archival cataloging, provenance research, and database systems (DAM, CMS, or museum collection platforms).
  • Exceptional organizational and research skills with strong attention to detail.
  • Effective written and verbal communication skills.
  • Ability to work independently while collaborating across multiple teams in a fast‑paced environment.

Responsibilities

  • Catalog and accession assets within the collections management system (TMS), ensuring accurate, complete, and consistent metadata.
  • Collaborate with the Manager, Memorabilia Collections on research, documentation, condition reporting, and asset records.
  • Organize and maintain authenticity records, provenance documentation, and supporting materials in both physical and digital formats.
  • Support inventory audits and ensure accurate records across collections and digital asset systems.
  • Photograph collection objects for documentation and digital archival purposes, including image review and retouching as necessary.
  • Maintain an organized digital image catalog aligned with archival and DAM standards.
  • Support digitization initiatives, ensuring metadata accuracy and image quality consistency.
  • Assist with asset tracking, labeling, and organization related to acquisitions, storage, display, and loan activity.
  • Support preparation of assets for installation, deinstallation, transport, and storage in coordination with internal teams.
  • Assist with managing the inventory and archival organization of the Globe Entertainment photography archives.
  • Assist with researching and supporting exhibitions, both in‑house and in collaboration with institutional or commercial partners.
  • Contribute to thematic narratives, historical context, and visual storytelling through archival materials.
  • Identify and evaluate new acquisitions or donations for historical relevance, cultural significance, and potential market value.
  • Work closely with Memorabilia Designers, Warehouse Operations, and other internal partners to ensure proper handling, preparation, and placement of assets.
  • Collaborate cross‑functionally with licensing, marketing, retail, and external partners including museums, curators, estates, and talent agencies.
  • Assist with administration, content updates, and maintenance of the company’s e‑museum website to ensure accurate and professional representation of the collection.
  • Ensure all materials are handled, stored, and preserved according to established archival and conservation best practices.
  • Stay informed on trends in memorabilia, celebrity culture, and the collectibles market to support content evaluation and licensing opportunities.
