About The Position

Snapscale is seeking a skilled Medical Virtual Assistant with pharmaceutical experience to support a U.S.-based healthcare practice in a remote setup. This role is ideal for candidates with a strong background in pharmacy operations, medication coordination, and healthcare administration. You will play a key role in preparing patient charts, managing prescription refill requests, tracking medical orders, and maintaining accurate clinical documentation while ensuring compliance with HIPAA and clinic protocols.

Requirements

Must have experience in the pharmaceutical industry or in a pharmacy-related role
Experience with EMR/EHR systems, patient chart preparation, and medical documentation
Experience managing prescription refill requests, medication coordination, and communication with healthcare providers and pharmacies
Familiarity with reviewing patient records, laboratory results, medical orders, and clinical documentation
Strong understanding of HIPAA compliance and patient confidentiality standards
Excellent written and verbal English communication skills
Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment
Strong coordination and collaboration skills with clinical and administrative teams
Must be comfortable working in a remote setup with a reliable internet connection and a dedicated workspace

Experience working with U.S.-based healthcare providers, clinics, or pharmacies is preferred

Responsibilities

Prepare and update patient charts at least 72 hours prior to scheduled appointments, ensuring all relevant clinical information is complete and organized
Review patients' previous visits, provider notes, laboratory results, medications, and outstanding tasks to ensure continuity of care
Manage prescription refill requests by coordinating with healthcare providers, pharmacies, and patients while following clinic protocols
Track and monitor medical orders, including laboratory tests, imaging requests, referrals, and medical supplies, ensuring timely follow-up and completion
Perform administrative tasks such as data entry, documentation, and communication with patients, pharmacies, providers, and clinic staff
Maintain and update patient records using EMR/EHR systems with accuracy and attention to detail
Collaborate closely with clinical and administrative teams to support efficient clinic workflows
Ensure all patient information and documentation comply with HIPAA regulations and clinic policies
