Summary: The primary function of the Part Time Medical Support Specialist is to utilize customer service skills to meet client intake and information service needs, as well as, provide general information and referral services for the office(s). This position primarily provides administrative support to Riveon medical and nursing staff in Medication Assisted Treatment (MAT) Program. This position works closely with clinical personnel and the Client Access Coordinator to perform a variety of administrative duties, exercising discretion and judgment within the framework of established procedures.

Requirements

  • Knowledge of medical terminology preferred.
  • Scheduling, reception, customer service, and electronic health record experience required.
  • Knowledge of HIPAA/confidentiality guidelines required.
  • Must possess excellent written and verbal communication skills.
  • Must have the ability to effectively work with Agency employees, outside contacts, and a diverse client population.
  • High school diploma or equivalent required

Nice To Haves

  • Associate Degree in related field or 3-years experience working in healthcare or medical office setting preferred.

Responsibilities

  • Maintains MAT medical and nursing staff schedules in Electronic Health Record (EHR) system.
  • Use customer service skills while working with client in scheduling appointments and setting-up telehealth appointments (on-site or remote).
  • Uses EHR reports to identify clients that need to be scheduled initial SUD MAT and follow-up appointments.
  • Collects needed documentation and completed medication prior authorization forms as required by third party insurance.
  • Assist in arranging Riveon transportation, as needed.
  • Informs and reminds clients of scheduled appointments.
  • Updates client information in EHR.
  • Assists clients in completing needed releases of information and obtains consents for treatment.
  • Conducts intake interviews with clients and other referral sources to gather necessary information to connect clients with appropriate services.
  • Verifies client insurance coverage.
  • Collects and updates client demographics, insurance payer, and financial information into EHR system and ensures accuracy and completeness. Computes sliding fee amount. May explain insurance coverage, billing policies and fees.
  • Refers clients with possible Medicaid eligibility criteria to Medicaid Enrollment Specialist.
  • Provides floater coverage for Front Office Assistants at various Riveon locations.
  • Serves as liaison to Agency departments and external referral sources to ensure client access to services.
  • Identifies and addresses staff and client needs to ensure smooth coordination of services.
  • Provides back-up support for Coordinator of Client Access Services, as needed.
  • Checks nursing fax machine and routes faxes to appropriate staff.
  • Assists with ordering of medication prescriptions and refills as instructed by medical staff.
  • Tracks and reports CQI data as required.
  • Distributes surveys and informational materials to clients, as necessary.
  • Other duties as assigned
