About The Position

RHI Magnesita is looking for a dependable and detail-oriented Administrative Support Specialist to provide part-time support for our North American team. Based in York, Pennsylvania, this hybrid role is ideal for someone who enjoys keeping processes organized, helping teams work efficiently, and providing practical support across travel, purchasing, and communication activities. In this role, you will work closely with regional stakeholders to help manage day-to-day administrative needs, support clear and timely communication, and ensure key requests are handled with accuracy and professionalism.

Requirements

  • Administrative, office support, purchasing, travel coordination, or communications support experience preferred.
  • Proficiency in Microsoft Word and Excel, with comfort using Microsoft Teams, Outlook, and other Microsoft 365 tools.
  • Strong organizational skills and the ability to manage multiple requests while maintaining attention to detail.
  • Clear written and verbal communication skills, including the ability to proofread and format materials accurately.
  • A service-oriented mindset and the confidence to follow up with employees, leaders, vendors, and internal partners.
  • Ability to handle confidential or sensitive information with professionalism and discretion.
  • Comfort working independently in a hybrid environment while staying connected with the broader team.
  • High school diploma or equivalent required

Responsibilities

  • Manage and maintain regional travel guidelines; coordinate and track travel requests following established approval processes and escalating questions when needed.
  • Support travel booking activities, including hotel and transportation arrangements
  • Administer purchase order requisitions, complete goods receipts, and ensure timely submission of invoices
  • Provide regional communications support
  • Maintain organized files, trackers, templates, and reference materials to support consistent regional processes.
  • Use Microsoft Teams, Outlook, Word, and Excel to coordinate tasks, manage information, schedule meetings, and support collaboration.
  • Assist with other administrative tasks and special projects
