About The Position

Provide "floater" Medical Support Assistant Services at the Wewoka Indian Health Center. This role involves managing high-volume telephone and in-person inquiries, assessing situations to determine appropriate responses (medical, fire, security, police), and executing emergency procedures. Responsibilities include greeting customers, scheduling appointments, assisting with COVID-19 vaccinations and testing, preparing documents, data entry, managing records, and other administrative tasks such as mail handling and word processing.

Responsibilities

  • Receive high volume telephone and personal calls and messages and utilize knowledge of organizations, programs, operations and procedures to make proper disposition of inquiries.
  • Question callers to the extent necessary to establish or clarify the nature of the call and information required.
  • Refer callers directly to persons designated or to supervisor or staff members if technical matters are involved.
  • Select inquiries that can be personally answered without reference to supervisor or staff members, including matters requiring substantive program knowledge, or are sensitive or controversial in nature.
  • Take messages for departments in their absence or direct callers concerned with urgent matters to most appropriate staff member while observing the rules of confidentiality in the retention and discrimination of privileged information.
  • Assess and interpret varying situations to determine proper action to take and must assess conditions and situation over the telephone or via audible alarm system in order to provide proper response, i.e. medical, fire, security or police services.
  • Execute numerous emergency procedures and responses at the same time.
  • Greet customers or clients.
  • Schedule appointments.
  • Assist in calling and scheduling Covid-19 vaccinations and Covid-19 testing.
  • Prepare documents and enter information.
  • Perform other administrative duties such as opening and sorting mail and performing basic word processing tasks.
  • Create and manage records using computer software.
  • Answer and route phone calls and check messages.
  • Provide information about the organization to the public or route customers' questions to the appropriate person.
  • Perform clerical duties as assigned, i.e. filing, etc.
  • Perform other related duties as assigned by supervisor.
