About The Position

Perform highly skilled administrative duties in support of Medical Staff. Tasks may include, but are not limited to, inputting sensitive information into information systems, preparing correspondence, researching and formatting information, and performing analysis and recommendations based on information retrieved. Requirements

  • General knowledge of typical office technologies such as computers, printers, copiers, fax machines, and typical office software.
  • Advanced computer skills: Excel, Word, Adobe.
  • Spreadsheet management.
  • 1st generation internet user.
  • Patient/customer service skills, interpersonal skills and good communication skills.
  • Ability to manage their time and organize their work to ensure efficient performance.

Responsibilities

  • Facilitate communication between providers and hospital departments to resolve issues and improve service delivery
  • Assign workloads, monitor productivity, and ensure adherence to established timelines and quality standards within the medical staff office
  • Manage day to day operation of Physician and APP schedule which includes village coverage, physician village visits, travel to and from the region to complete shifts
  • Coordinate with village clinics and village health service department on clinic coverage needs
  • Monitor and update/maintain all medical staff licensing and certifications to assure compliance with State and Federal requirements.
  • Schedule and organize time study to be completed twice a fiscal year by emergency department physicians and provide to finance.
  • Fill out CME bonus forms for approval and submit to payroll and HR for processing.
  • Create employment agreements for new and extended providers.
  • Maintains and updates the Medical Staff Master Schedule, the Provider Shift Board Schedule, and other scheduling platforms in coordination with the Primary Care Clinic Manager and Medical Director.
  • Complete all outside credentialing requests for current and former providers, including hospital affiliations, etc.
  • Assist with recruitment, hiring and training of the Medical Staff Office assistant.
  • Review invoices and code to appropriate EOC’s and get proper approvals.
  • Be able to organize, attend, and write the minutes for all Medical Staff department and committee meetings.
  • Record and maintain all vital meeting records.
  • Track and record CME spending and compare with financial department for accuracy
  • Track compensation benefits to make sure providers do not go over allotted amounts for physician travel, APP annual mileage tickets, and physician Alaska Lounge Pass.
  • Assist the AVP of Medical Services and Medical Director with administrative tasks when requested
  • Performs other duties as assigned.
