About The Position

Under the direction of the System Director of Medical Staff Credentialing and Payer Credentialing, this role is responsible for the coordination and oversight of the Medical Staff Services Department. Key duties include managing meetings, ensuring the flow of information from medical staff committees through the Medical Executive Committee and the Governing Board, and assisting with TJC Survey preparation for the medical staff/leadership function. This includes educating staff and medical staff regarding accreditation standards. The role also involves working closely with Corporate Medical Administration on medical staff and bylaws issues.

  • Ability to focus on detail while responding to multiple tasks simultaneously and work effectively in a goal-oriented team environment.
  • Ability to maintain confidentiality of proprietary information related to all aspects of the position, hospital, medical staff, and allied health professional staff.
  • Excellent interpersonal skills, including the ability to communicate clearly, professionally, both verbally and in writing with a broad range of professionals and people of varying education and backgrounds.
  • Proficiency in Cactus is critical.
  • Proficiency in data entry, typing, and computer skills using a variety of software programs including Microsoft Word, Excel, Access, Outlook, PowerPoint and Cactus.
  • Willingness to maintain a flexible work schedule as needed.
  • Ability to adapt to changing schedules, deadlines and demands, and a heavy workload.
  • Previous experience in a Medical Staff Services Administrative position required.
  • Degree in business or health related field desired.

  • Previous experience as a Medical Staff Coordinator or two or more years experience in a Medical Staff setting preferred.

Responsibilities

  • Coordination and preparation of medical staff functions, including preparing for committee meetings, taking minutes, and processing/distributing correspondence.
  • Preparation of Initial appointment and reappointment application files for department director presentation and approval.
  • Processing Advancements after the provisional year.
  • Preparation of Credentials meeting agenda with incoming applicants and other Medical Staff categories and updates.
  • Performing bookkeeping activities for the medical staff.
  • Assisting in compliance with accrediting and regulatory agencies (e.g., Joint Commission, CMS, NJBOME) regarding medical staff, and developing/maintaining knowledge of relevant statutes and laws.
  • Maintaining the confidentiality of all business/work and medical staff information.
  • Managing the flow of information between the MSO team, Credentials and MEC Committee members, Medical Staff Leadership, and the Chief Medical Officer.
  • Maintaining open communication with the Medical Staff, Administration, Hospital Departments, practitioner’s office staff, Corporate Office, and related health agencies, and identifying/solving problems.
  • Maintaining knowledge of standards from The Joint Commission, CMS, and State and Federal regulations related to Medical Staff organization.
  • Maintaining working knowledge of the Medical Staff Bylaws, Rules and Regulations, and Hospital policies, and ensuring medical staff compliance.
  • Providing supportive services to Medical Staff leaders.
  • Scheduling and attending Medical Staff meetings as necessary, assisting with agenda and materials preparation, and recording minutes.
  • Assuming other related responsibilities as required.
  • Assuming responsibility and accountability as Custodian of Records for all files, minutes, reports, etc., related to Medical Staff activity.
  • Composing and distributing the monthly Medical Staff Calendar.
  • Picking up and distributing medical staff mail and assigning mailboxes.
  • Maintaining an orderly medical staff lounge.
  • Maintaining email address groups in Outlook.
  • Working with medical staff officers on elections and providing support.
  • Coordinating new physician orientation as directed by the Corporate Office.
  • Scheduling applicant interviews as directed by the Corporate Office.
  • Creating and maintaining new provider EMR access.
  • Preparing and disseminating board letters and "after BOT" procedures.
  • Collecting and entering AMION monthly call schedules.
  • Maintaining the electronic board with current information as directed.
  • Compiling internal information related to focused or ongoing professional practice evaluations (FPPE/OPPE), performance improvement, utilization patterns, peer review, or performance information.
  • Collaborating with the quality management department to distribute OPPE reports and ensuring Department Directors and Section Chiefs receive OPPE data.
  • Coordinating the FPPE process according to regulatory requirements, ensuring new applicants undergo FPPE within established timeframes, and following up with proctors/reviewers.
  • Performing all other duties as assigned.
