About The Position

This individual will perform medical secretarial duties which include typing, data entry, answering telephone, making calls, taking messages and various administrative duties, as assigned by Supervisor or Manager. The Medical Secretary will assist in the coverage of absent co-workers, obtain, copy, and/or scan medical records as needed, and maintain knowledge of scheduling criteria for all procedures within the department. This role requires working at a fast pace while maintaining accuracy of details. The Medical Secretary will schedule patient visits in a timely manner, ensuring all information is complete and accurate, and coordinate appointments with other locations as needed. They will answer the phone, provide excellent customer service, and follow through with problems or questions in a timely manner using available resources. The Medical Secretary will accurately answer questions by maintaining a good knowledge base and utilizing other resources, communicate identified problems to appropriate supervisory personnel, and participate in corrective action. Strict confidentiality must be maintained when handling patient charts, records, and scheduling information. The Medical Secretary will attend all in-service programs and departmental meetings as required, and utilize the scheduling system to its fullest potential using established procedures and guidelines. They must maintain up-to-date knowledge and stay abreast of changes and updates. This role involves assisting with data collection, creating and updating patient accounts in the registration system, and accurately entering data. The Medical Secretary will verify insurance coverage, obtain benefit information, and collaborate with patients, staff, and offices to ensure all necessary information is obtained before services. All information obtained during pre-registration will be documented, and activity comments will be added to charts/systems for follow-up. The Medical Secretary will collect self-pay balances, post collections, and ensure all monies collected are secured or turned over to appropriate associates, balancing cash drawers before closing. Patients will be referred for financial counseling when needed. The Medical Secretary will maintain a safe environment of care, recognize and address safety hazards, and report dissatisfied patients/families to management or police/security if necessary. Participation in professional development, including educational in-services and eLearning courses, is expected.

Requirements

  • High School Diploma or GED equivalent required
  • Excellent organizational and communication skills
