About The Position

This individual will perform medical secretarial duties which include typing, data entry, answering telephone, making calls, taking messages and various administrative duties, as assigned by Supervisor or Manager. The role involves maintaining knowledge of scheduling criteria, scheduling patient visits accurately, answering phones, problem-solving, maintaining confidentiality, utilizing the scheduling system, updating patient accounts, verifying insurance coverage, collaborating with patients and other offices, documenting information, collecting self-pay balances, and ensuring a safe environment of care. The position also requires participation in professional development and educational in-services.

Requirements

  • High School Diploma or GED equivalent required
  • Works at a fast pace and maintains accuracy of details.
  • Ensures and adheres to strict confidentiality when handling patient charts, records, and scheduling information.
  • Utilizes the scheduling system to the fullest potential, using established procedures, and guidelines.
  • Maintains up-to-date knowledge and stays abreast of changes and updates as they occur.
  • Accurately enters data into the system.
  • Ensures that all monies collected are secured or turned over to appropriate associates and cash drawers are balanced before closing.
  • Maintains a safe environment of care.
  • Recognizes and addresses safety hazards.

Responsibilities

  • Perform medical secretarial duties including typing, data entry, answering telephone, making calls, and taking messages.
  • Perform various administrative duties as assigned by Supervisor or Manager.
  • Assist in the coverage of absent co-workers.
  • Assist in obtaining, copying, and/or scanning medical records as needed.
  • Maintain knowledge of scheduling criteria for all procedures within the department.
  • Schedule patient visits in a timely manner, ensuring all information is complete and accurate.
  • Coordinate appointments as needed with other locations.
  • Answer phone and provide excellent customer service.
  • Follow through with problems or questions in a timely manner.
  • Accurately answer questions by maintaining a good knowledge base and utilizing other resources.
  • Communicate identified problems to appropriate supervisory personnel and participate in corrective action.
  • Ensure and adhere to strict confidentiality when handling patient charts, records, and scheduling information.
  • Attend all in-service programs and departmental meetings as required.
  • Utilize the scheduling system to the fullest potential, using established procedures and guidelines.
  • Maintain up-to-date knowledge and stay abreast of changes and updates.
  • Assist with data collection.
  • Create accounts for new patients and update accounts for previous patients in the registration system.
  • Accurately enter data into the system.
  • Utilize appropriate strategies to verify insurance coverage of scheduled patients, obtaining benefit information.
  • Collaborate with patients, staff, clinical departments, and referring physician offices to ensure necessary information is obtained.
  • Document all information obtained during pre-registration activities.
  • Document charts and/or system with activity comments.
  • Collect self-pay balances per department guidelines and post collections to the system.
  • Ensure all monies collected are secured or turned over to appropriate associates and cash drawers are balanced before closing.
  • Refer patients for in-depth financial counseling when needed.
  • Maintain a safe environment of care.
  • Recognize and address safety hazards.
  • Report any dissatisfied patients/family to management or police/security if necessary.
  • Participate in professional development.
  • Actively participate in educational in-services and eLearning courses as offered.
